Responsibilities:

Core Responsibilities

  • Manage all administrative aspects of buyer and seller transactions from executed contract through closing, with transaction coordination always as the top priority
  • Track and manage all critical deadlines, contingencies, inspections, appraisals, and closing timelines
  • Review contracts and transaction documents for completeness, accuracy, required signatures, and dates
  • Coordinate communication between agents, clients, lenders, title companies, inspectors, and other transaction stakeholders
  • Schedule inspections, appraisals, and closing appointments; track inspection responses and repair documentation (agents handle negotiation)
  • Ensure all escrow-related documentation is received and completed, including title, appraisal, and mortgage loan documents
  • Enter, maintain, and update all client and transaction information in the CRM and transaction management system
  • Submit complete and compliant transaction files to the office broker and maintain accurate records for brokerage and state compliance
  • Provide proactive updates to clients regarding transaction status, timelines, and next steps to ensure a smooth closing experience


Client Intake & Lead Routing Support

  • Answer inbound buyer and seller inquiry calls in a professional and timely manner
  • Gather structured intake information, including timeline, motivation, property details, and financing status
  • Accurately document all intake information in the CRM
  • Route qualified leads to agents based on established team guidelines
  • Schedule appointments when criteria are met and hand off to agents appropriately

Qualifications:
  • A valid Real Estate License is required for this job
  • Previous experience in transaction management, transaction coordination, real estate, titles, or mortgages highly valued
  • High school diploma required; Associate’s degree preferred
  • Applicants must possess exceptional organizational and verbal and written skills
