Job description

Position Overview

The Founder's College Admission Assistant reports to the Associate Director for Admission for Founder's College at Butler University.  Serves as the primary point of contact for current Founder's College students with in-person services and for Founder's College prospective students and their families with respect to campus visits and events and admission process support.  Role serves as the primary contact role for front desk operations. 

This individual works collaboratively with the Admission Assistant for the Visit Experience based in the Undergraduate Admission Office as they both coordinate and plan daily admission visits and group visits with respect to audience. As the administrative visit support for Founder's College, this individual responds to inbox requests, phone calls for visits, inquiries from campus constituents regarding visit schedules and execution, runs regular SLATE CRM queries for daily visit itineraries, and manages daily check-ins. This person works with the Assistant Director of Admission in hiring Butler Student Ambassadors specific to Founder's College as tour guides; trains and schedules the guides for tours, student panels, special events, and overall recruitment support. 

Responsibilities 

  • Serves as the front desk coordinator and first contact for Founder's College

  • Monitors web-based ticket system via Salesforce

  • Provides general administrative support including calendar support, mail distribution, and website copy updates as needed

  • Responsible for all Founder's College daily visits incoming and outgoing communication via Founder's College phone line and email inbox 

  • Prints and manage all itineraries and schedules for Founder's College daily visitors 

  • Serve as main point of contact with on-campus constituents (faculty, staff) for inquiries related to Founder's College student visits 

  • Supervises and established schedules for front desk student support via Butler Student Ambassador program including tour guides, student panelists, etc. 

  • Coordinates sponsored group visit requests, in coordination with the Associate Director of Admission for Founder's College and the Admission Assistant with the Visit and Events Team.

  • May be asked to assist with Information Session as needed

  • Assists with application processing functions in support of students and in conjunction with colleagues in Enrollment Systems and Operations and the Office of Financial Aid

  • Other duties as assigned

Required Qualifications 

  • Associate's degree 
  • Minimum 1-2 years of experience working in higher education, preferably in college admissions or a related field
  • Experience working with historically underrepresented students.
  • Strong organization and time management skills
  • Excellent communication and interpersonal skills, with the ability to engage diverse audiences and build relationships with stakeholders 
  • Proficiency in Microsoft Office Suite 
  • Knowledge of the Indianapolis community (high schools, community-based organizations)
  • Comfortable in a dynamic startup environment incl. significant amounts of autonomy
  • Passionate about access, affordability, and equity in higher education

Preferred Qualifications

  • Bi/multilingual, a plus
  • Knowledge of Oracle Cloud, People Soft, Salesforce, and/or Slate CRM 
  • Project management experience
