POSITION SUMMARY

We are seeking a Fulfillment Specialist to accurately and carefully prepare farm store, restaurant, ins, online, and gift orders so that every product that leaves SingleThread reflects the same care given to a guest seated at our table.

This role is responsible for the complete fulfillment process, including inventory management, product and packaging procurement, picking, packing, and shipping of retail and e-commerce orders. The Fulfillment Specialist ensures that every order is accurate, beautifully presented, properly protected, and delivered on time. This position works closely with Farm, Retail, Culinary, CPG, Marketing, Hospitality and other teams across the organization to coordinate product availability, packaging, seasonal offerings, launches, and special projects.


WHAT YOU'LL DO...

Fulfillment & Shipping

  • Pick, pack, and prepare Farm Store, online, and gift orders accurately and within required timeframes.
  • Provide white-glove care in the packing and shipping of all products, ensuring each order is presented with exceptional attention to detail and reflects SingleThread's standards for quality and hospitality.
  • Inspect all products before packing to ensure they meet SingleThread's quality, freshness, and presentation standards.
  • Select appropriate packaging materials and packing methods based on product type, seasonality, fragility, and shipping requirements.
  • Follow proper food-safety and cold-chain handling procedures when packing perishable farm products, ensuring freshness and quality upon arrival.
  • Print shipping labels, coordinate carrier pickups, and track outbound shipments to proactively resolve delays, damages, or delivery issues.
  • Ensure all packing slips, gift notes, inserts, and other order materials are accurate and appropriately included.

Inventory & Procurement

  • Maintain accurate inventory levels for retail products, shippable products, packaging materials, shipping supplies, and other fulfillment-related items.
  • Monitor inventory levels and proactively identify products and supplies that need to be reordered.
  • Order and manage packaging inventory, including boxes, tissue, insulation, ice packs, labels, tape, inserts, and other shipping materials.
  • Coordinate the ordering and replenishment of retail and fulfillment supplies in accordance with established budgets and par levels.
  • Receive, inspect, label, organize, and properly store incoming products, packaging, and fulfillment supplies.
  • Maintain organized storage areas and ensure inventory is clearly labeled and easily accessible.
  • Conduct regular inventory counts and reconcile discrepancies, escalating significant variances or inventory concerns to the appropriate manager.
  • Maintain appropriate par levels to ensure fulfillment operations are not interrupted by product or packaging shortages.

Cross-Functional Collaboration

  • Work collaboratively with all levels of the organization, including Farm, Retail, Culinary, CPG, Marketing, Hospitality, and leadership teams.
  • Coordinate with the Farm team on daily harvest availability, product quality, seasonality, and fulfillment requirements.
  • Partner with Culinary and CPG teams on product availability, new product launches, production schedules, packaging requirements, and special projects.
  • Collaborate with Marketing and CPG teams on product launches, promotional campaigns, gifting initiatives, packaging presentation, inserts, and brand standards.
  • Communicate proactively with relevant teams regarding inventory constraints, product availability, packaging needs, order volume, and upcoming seasonal demand.
  • Support cross-functional projects and special fulfillment initiatives as needed.

Operations & Customer Experience

  • Maintain a clean, organized, efficient, and well-presented fulfillment and packing area.
  • Establish and maintain organized systems for products, packaging, shipping supplies, and finished orders.
  • Respond to internal inquiries regarding order status and assist with resolving customer shipping questions in partnership with the Retail team.
  • Identify opportunities to improve fulfillment processes, reduce waste, increase efficiency, and enhance the customer experience.
  • Support seasonal spikes in order volume, including holiday gifting, special farm harvest boxes, CPG launches, and other high-volume initiatives.
  • Maintain a high level of accuracy, organization, and professionalism while managing multiple priorities and deadlines.

WHAT YOU HAVE:

  • Prior experience in order fulfillment, inventory management, warehouse operations, shipping/receiving, retail, e-commerce, or a related operational role preferred.
  • Experience ordering and managing inventory and supplies preferred.
  • Strong attention to detail and a demonstrated commitment to quality and presentation.
  • Exceptional organizational skills and the ability to maintain accurate inventory and fulfillment records.
  • Comfortable working with perishable food products and following food-safety and cold-chain best practices.
  • Basic computer proficiency and ability to learn order management, inventory, shipping, and related systems.
  • Ability to communicate effectively and work collaboratively with teams and individuals at all levels of the organization.
  • Reliable, proactive, resourceful, and able to anticipate operational needs before they become issues.
  • Ability to manage multiple orders, deadlines, inventory needs, and cross-functional priorities in a fast-paced environment.
  • Strong sense of hospitality and pride in delivering an exceptional customer experience.
  • Experience with Shopify order fulfillment is a plus.
  • Passion for farm-to-table food, sustainable agriculture, CPG, or hospitality is a plus.

PHYSICAL & ENVIRONMENTAL REQUIREMENTS

  • Ability to stand, walk, bend, and lift for extended periods.
  • Ability to regularly lift and carry up to 40 lbs (e.g., packed boxes, produce crates).
  • Ability to work in varying conditions, including walk-in coolers and outdoor farm areas.
  • Manual dexterity for packing, labeling, and handling delicate or perishable items.
