Job description

Operations & Fulfillment Manager


Location: Upland, California
Job Type: Full-Time, On-Site
Pay: $28–$34 per hour, depending on directly relevant experience. This is a nonexempt position eligible for overtime.
Schedule: Monday through Friday, 8:00 a.m. to 5:00 p.m., with a one-hour unpaid, duty-free meal period. Occasional overtime may be required based on business needs.


About the Company

CAcafe is a growing food and beverage company selling products through oadshows, Walmart.com, Amazon, Shopify, eBay, and other retail and e-commerce channels.

We are looking for a dependable, organized, and hands-on Operations & Fulfillment Manager to oversee daily e-commerce fulfillment, warehouse activities, roadshow coordination, inventory, customer service, and operational reporting.

This is not a desk-only management position. The right candidate must be comfortable managing administrative responsibilities while also helping pack orders, prepare pallets, organize warehouse materials, and solve urgent operational problems.


Key Responsibilities

E-Commerce Fulfillment

  • Review and process daily orders from Amazon, Walmart.com, Shopify, and eBay.
  • Print shipping labels and ensure orders are packed accurately and shipped on time.
  • Coordinate USPS and other carrier pickups.
  • Assist with Amazon FBA and FBM preparation, packing, labeling, and shipping.
  • Track delayed, missing, returned, or damaged shipments.
  • Ensure online orders are handled accurately and efficiently, including during higher-volume periods.

Roadshow Operations

  • Coordinate upcoming roadshows, including schedules, products, equipment, staffing, and shipment deadlines.
  • Work directly with sales representatives and staffing agencies to recruit dependable roadshow personnel.
  • Confirm staffing sufficiently in advance and respond quickly when replacements are needed.
  • Provide training, instructions, product information, and sales expectations to roadshow representatives.
  • Track daily roadshow sales, attendance, staffing performance, inventory, and operational issues.
  • Communicate with sales representatives regularly and provide coaching and feedback.
  • Prepare products, equipment, and materials for roadshows.
  • Confirm that roadshow pallets and equipment leave and return to the warehouse on schedule.
  • Inspect returned products and equipment and identify missing or damaged items.

Warehouse and Inventory Operations

  • Pack, wrap, label, and track pallets entering and leaving the warehouse.
  • Help prepare multiple pallets containing products, samples, displays, and roadshow equipment.
  • Maintain an organized warehouse and ensure products and materials can be located quickly.
  • Track finished products, raw ingredients, packaging materials, samples, displays, and roadshow supplies.
  • Maintain accurate inventory records using Excel or another inventory-tracking system.
  • Perform periodic physical inventory counts and reconcile differences.
  • Monitor inventory levels and notify management before products or materials run low.
  • Clean, wash, and sanitize roadshow equipment and materials as needed.
  • Operate a forklift to assist with loading, unloading, receiving, and warehouse organization.

Customer Service

  • Respond professionally and promptly to customer questions, complaints, returns, and delivery problems by email or phone.
  • Track open customer service issues and ensure each matter is resolved.
  • Escalate serious product, quality, or customer concerns to management promptly.
  • Maintain clear records of complaints, resolutions, refunds, and replacement shipments.

Reporting and Operational Support

  • Maintain a master task tracker for roadshows, shipments, inventory, staffing, and open issues.
  • Use sales and cost data to help track performance, expenses, and profitability.
  • Prepare clear daily, weekly, and monthly operational reports for management.
  • Identify operational problems early and recommend practical solutions.
  • Assist with supplier and manufacturer communication regarding pricing, timing, production, and delivery when requested.
  • Follow through on assignments without requiring repeated reminders.


Communication Expectations

This is a fast-paced position in which responsiveness is essential.

The employee will be expected to:

  • Acknowledge routine internal messages within 30 minutes during working hours.
  • Acknowledge urgent operational issues within 10 to 15 minutes whenever reasonably possible.
  • Communicate delays or problems before deadlines are missed.
  • Provide clear estimated completion times when an issue cannot be resolved immediately.
  • Send a brief daily update summarizing completed work, open issues, and upcoming priorities.
  • Maintain accurate written records so management can quickly understand the status of operations.


Qualifications

  • At least 2 years of experience in operations, warehouse coordination, e-commerce fulfillment, logistics, retail operations, or a related field.
  • Experience processing orders through platforms such as Amazon Seller Central, Walmart Marketplace, Shopify, or eBay is strongly preferred.
  • Experience coordinating events, demonstrations, temporary workers, sales representatives, or staffing agencies is preferred.
  • Strong organizational, time-management, and problem-solving skills.
  • Ability to prioritize several urgent responsibilities at the same time.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Excel, Google Sheets, email, and shared task-management tools.
  • Ability to work independently and provide management with consistent visibility into ongoing work.
  • Forklift experience or willingness to obtain forklift training and certification.
  • Valid driver’s license and reliable transportation.
  • Ability to communicate professionally with customers, employees, staffing agencies, suppliers, and retail partners.
  • Bilingual English and Chinese is helpful but not required.


Physical Requirements

  • Ability to stand, walk, bend, reach, and work in a warehouse environment.
  • Ability to lift and move approximately 40 to 50 pounds.
  • Ability to pack cartons, wrap pallets, clean equipment, and assist with loading and unloading.
  • Ability to work on-site at the Upland warehouse.
  • Forklift certification and experience operating a manual-transmission forklift are preferred.
