Job description

Summary
The Fuel Purchaser is responsible for overseeing daily fuel purchasing and contract management, inventory management and control, and vendor coordination to support the company’s operational needs. The Fuel Purchaser ensures the company maintains adequate fuel levels, manages fuel procurement efficiently, and assists in resolving contract discrepancies and logistical supply issues. Additionally, the Fuel Purchaser manages and guides fuel team members to ensure accurate fuel data tracking, reconciliation, and reporting. This role demands attention to detail, collaboration, analytical skills, and a commitment to cost-effective fuel management aligned with company objectives.

Minimum Requirements
Combination of Education and Experience will be considered. Must be authorized to work in the US as defined by the Immigration Act of 1986. Must pass a Criminal Background Check.
Education:  Bachelor’s Degree
Education Details: Bachelor’s degree required in Business Administration, Finance, Supply Chain, or a related field.
Years of Experience: Minimum five (5) years of experience in fuel purchasing, logistics, or a similar role, with knowledge of procurement processes and contract management.

•    Strong intellect and analytical aptitude, along with the ability to manage multiple and varied activities.
•    Good negotiation skills to appropriately advance the company’s agenda, as well as to successfully resolve commercial and/or technical disputes.
•    Excellent oral and written communication skills and better than average people skills required to effectively manage large, multi-party, internal, and external projects.
•    Strong attention to detail to manage all aspects of the position.
•    Must embrace hard work and be comfortable with a fast-paced, quickly changing work environment.
•    Proficient in Microsoft Office (Excel, Word, Outlook), with strong analytical and problem-solving skills.

Preferred Requirements
•    Prior experience within the airline or petroleum industry.
•    Experience with fuel market dynamics, pricing trends, and strategic purchasing.

Job Duties
•    Assure fuel is provided to Allegiant wherever needed by the company, reliably, and economically.
•    Execute timely fuel releases or contracts to ensure reliable supply, collaborating with the Fuel Purchasing and Inventory Manager on sourcing strategies.
•    Maintain optimal inventory levels by monitoring usage and forecasting fuel and distributing monthly fuel nominations to all fuel supply & service vendors.
•    Manage, review, and update fuel capacity and fuel on hand for all locations and assist in supporting fuel capacity expansion where needed.
•    Assist with coordinating with fuel suppliers and service providers to negotiate competitive terms, manage deliveries, and address supply-related issues.
•    Track and analyze fuel market trends to identify cost-saving opportunities.
•    Assist with the review, preparation, and negotiation of fuel supply RFP’s and contracts, ensuring compliance with company policies and legal requirements.
•    Assist with Managing contract renewals, expirations, and amendments.
•    Assist with reconciling fuel invoice task disputes, fuel data, and bill of lading delivery records to ensure accuracy.
•    Collaborate with team members on daily administrative tasks.
•    Ensure accurate documentation of transactions, consumption data, and inventory levels for internal and external reporting.
•    Supervise, mentor, and guide fuel team members to ensure accurate and reliable fuel data, continued growth, knowledge base, and analytical support.
•    Assist in facilitating the resolution of inventory discrepancies and aid in complex problem-solving within the team.
•    Work closely with departments such as Accounting, OCC and Dispatch, Quality Assurance, and Airport Planning, and Safety to support company objectives.
•    Oversee, manage, and contribute to the maintenance of the Fuel Management System, updating it with current fuel prices, terms, and other relevant contract data.
•    Prepare and analyze fuel data reports, cost summaries, and projections as needed.
•    Attend consortium meetings and other relevant forums, ensuring that company fuel supply interests are consistently represented and advanced.
•    Ensure any direct reports understand and apply our Customer Commitment and customer service standards to their daily responsibilities as appropriate.
•    Model Allegiant’s customer service standards in personal actions and when providing leadership direction.
•    Other duties and projects as assigned.

Office - While performing the duties of this job, the Team Member is regularly required to stand, sit, talk, hear, see, reach, stoop, kneel, and use hands and fingers to operate a computer, key board, printer, and phone. May be required to lift, push, pull, or carry up to 20 lbs. May be required to work various shifts/days in a 24-hour situation. Regular attendance is a requirement of the role. Exposure to moderate noise (i.e. business office with computers, phones, printers, and foot traffic), temperature and light fluctuations. Ability to work in a confined area as well as the ability to sit at a computer terminal for an extended period of time. Some travel may be a requirement of the role.
