Operations Coordinator

Full Time – Regular

SUMMARY

Fujitsu Frontech/Fulcrum Biometrics is seeking a results-oriented individual for our operations team. The successful candidates will possess a professional and take-charge style with the motivation to meet and exceed expectations.

The Operations Coordinator is responsible for activities for both inbound material and outgoing shipments. Duties may include receiving and inspecting incoming shipments, organizing and storing received products, preparing outgoing orders, packaging and labeling shipments, coordinating with carriers for pickups and deliveries, and maintaining inventory accuracy. These duties require a versatile skill set and the ability to handle multiple aspects of order fulfillment.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential Functions of the position include, but are not limited to;

  • Processes incoming orders; pulls product(s) from warehouse, scans barcode(s), packages product(s), prepares invoice(s) and sales receipt(s), prepares shipping label(s).
  • Creates and sends customer email confirmation(s) using the appropriate email template and attaches invoice/sales receipt(s).
  • Completes end of day process via UPS WorldShip and acts as back up for Shopify end of day.
  • Receives incoming inventory - verifies product and quantities match the purchase order (PO), verifies and records serial number(s), receives inventory into QuickBooks.
  • Completes monthly warehouse inventory.
  • Responsible for maintaining the warehouse – cleaning, organizing, restocking.
  • Safely operates forklift as needed – certification required (training provided). Charges forklift regularly.
  • Responsible for monitoring inventory and restocking pantry and restroom supplies. Advises Operations Manager when inventory is low.
  • Processes orders, packages products, creates packing lists and invoice/sales receipts.
  • Provides shipping quotes to the sales team as needed.
  • Coordinates and performs outgoing domestic and international shipping activities to ensure accuracy, completeness, and condition of shipments using UPS World Ship, FedEx, DHL and various other freight forwarders.
  • Inspects and performs loading operations to ensure compliance with shipping specifications.
  • Inspects material handling equipment for defects and notifies Operations Manager or Purchasing Coordinator.
  • Assists in receiving and performs the following:
  • Put away process of material
  • Validate material received against packing slip
  • Print labels for material if required
  • Assists in resolving inventory issues.
  • Meets daily shipping requirements by evaluating planned production schedule and adjusting workloads based on RDD’s, scheduled integration requests, material availability and changing or unforeseen factors.
  • Notifies Purchasing of any receiving discrepancies on incoming material.
  • Organizes inventory by combining similar items in location(s) when space permits.
  • Responsible for inventory accuracy and integrity in the warehouse.
  • Performs scheduled and unscheduled cycle counts and report as needed.
  • Regular work site attendance.

Other Duties and Responsibilities:

  • Acts as backup for the Sales Support Specialist - processes incoming web orders and approved sales orders, forwards web orders to Sales for verification as needed.
  • Acts as backup office/accounting clerk as needed in the event of absences. Processes Accounts Receivable/Payable, prepares/sends invoices and/or applies payments, etc. These functions will be trained.
  • Assists with support tasks such as preparing reports and managing customer relationships, when requested by Operations Manager.
  • Manages customer RMA requests and processes, when needed.
  • Occasionally drops shipments off at USPS, UPS, FedEx or DHL locations.
  • Sends booking requests to freight forwarders.
  • Communicates with team members to make sure the customer gets the best outcome possible when ordering from us.
  • Participates in operations meetings as needed.
  • Adheres to company policies, safety, and quality
  • Supports continual improvement efforts

QUALIFICATIONS

  • Fork-lift certified, preferred; training provided.
  • Proficient using computer software Microsoft Office Suite (Word, Excel, Outlook) and using the internet.
  • QuickBooks experience, preferred.
  • Experience with creating packing lists and/or invoices, is strongly preferred.
  • Excellent team player, problem solver with a high level of self-motivation and initiative.
  • Able to meet deadlines on a consistent basis.
  • Perform quality work within deadlines with or without direct supervision.
  • Interact professionally with other employees, customers, and suppliers.
  • Ability to work independently (and with limited supervision) while understanding the necessity for communicating and coordinating work efforts with other employees and departments at all levels within the organization.
  • Ability to multi-task and work under pressure.
  • Strong organizational, analytical and problem-solving skills, along with excellent verbal and written communication skills.
  • Must be capable of managing multiple priorities effectively and be able to identify and recommend the best course of action from several alternatives.

  • High degree of initiative and ownership, attention to detail, and the discipline to follow through on assigned tasks.
  • Strong influencing, collaboration and relationship-building skills both internally and externally with suppliers.

EDUCATION and/or EXPERIENCE

Associate’s degree in business administration or similar. Or 3 years’ experience in an office assistant, warehouse, shipping/receiving or order fulfillment role.

CERTIFICATES, LICENSES, REGISTRATIONS

Certified Forklift required – training will be provided.

COMPUTER SKILLS

Individual must be PC literate and have the aptitude to learn operation of other computer systems, including a Tablet. Proficiency in Word, Excel, PowerPoint, Outlook, Teams and other commonly used applications software is required.

Experience with Shipping software preferred - especially UPS WorldShip and FedEx. Experience using websites such as Shopify, FedEx, DHL, and Microsoft One Drive preferred. Experience with ERP systems preferred, experience with QuickBooks Enterprise Edition a plus.
