Front Desk Receptionist โ Duties & Requirements
Job Summary
The Front Desk Receptionist is the first point of contact for all clients and is responsible for creating a welcoming, professional, and luxury experience that reflects the med spaโs brand. This role supports daily spa operations through exceptional customer service, communication, and organization.
Key Responsibilities
Client Experience
โข Greet all clients promptly with a warm, friendly, and professional attitude.
โข Check in and check out clients efficiently.
โข Offer refreshments and ensure clients are comfortable while waiting.
โข Maintain a calm, welcoming tone even during busy times.
โข Handle client concerns or complaints professionally and escalate when necessary.
Scheduling & Communication
โข Manage appointment bookings via phone, text, email, or scheduling software.
โข Confirm appointments and send reminders.
โข Notify providers of client arrivals and changes.
โข Communicate delays or adjustments to clients politely and proactively.
Payment & Record Management
โข Process payments accurately (services, products, memberships).
โข Maintain and balance cash drawer at the end of each shift.
โข Update and maintain accurate client records and treatment notes in the system.
โข Ensure confidentiality and compliance with HIPAA standards.
Sales & Product Knowledge
โข Promote current specials, packages, and memberships.
โข Educate clients about skincare products and treatment options.
โข Upsell and cross-sell when appropriate, maintaining a service-focused approach.
Spa Presentation & Cleanliness
โข Keep front area, lobby, and restrooms tidy and stocked at all times.
โข Ensure music, lighting, and scent align with spa atmosphere.
โข Disinfect front desk area regularly following spa protocols.
Team Support
โข Communicate clearly with providers and management.
โข Assist with inventory counts, restocking, and laundry when needed.
โข Attend team meetings, trainings, and staff events.
Professional Requirements
Appearance & Presentation
โข Arrive well-groomed with clean, pressed uniform and name badge.
โข Maintain neat hair, light professional makeup, and minimal fragrance.
โข Nails should be clean and well-kept (no chipped polish).
โข Represent the med spaโs brand in a polished, professional manner at all times.
Skills & Qualifications
โข 1+ year of experience in customer service or front desk (spa, salon, or medical office preferred).
โข Strong communication, multitasking, and organization skills.
โข Comfortable using booking and POS software (e.g., Aesthetic Record, Boulevard, Vagaro, etc.).
โข Knowledge of beauty/aesthetic treatments is a plus.
โข Reliable, punctual, and team-oriented.
