What Will You Do?

We are seeking an experienced Front Desk Associate who is highly organized, personable, sales-minded, and passionate about patient care. This role requires someone who can confidently manage schedules, support providers, assist with retail sales, and help drive practice growth through excellent customer service and patient retention.

Key Responsibilities
  • Serve as the first and last point of contact for every patient
  • Answer incoming calls professionally and convert inquiries into consultations and appointments
  • Manage provider schedules and optimize appointment flow
  • Confirm appointments, follow up with unconfirmed patients, and contact late arrivals
  • Check patients in and out while maintaining a luxury-level experience
  • Educate clients on services, memberships, packages, promotions, and retail products
  • Assist with retail sales and product recommendations
  • Support providers with scheduling, treatment follow-up, and patient communication
  • Maintain accurate patient records and documentation within the EMR system
  • Monitor patient retention and assist with rebooking efforts
  • Process payments and reconcile daily transactions
  • Maintain front office cleanliness, organization, and presentation
  • Assist with events, open houses, and promotional initiatives
  • Communicate effectively with providers and management regarding operational needs
Qualifications
  • Minimum 2 years of front desk experience in a medical spa, plastic surgery, dermatology, aesthetic, or wellness practice
  • Strong understanding of aesthetic treatments and med spa operations
  • Experience with patient scheduling and EMR systems
  • Excellent phone etiquette and communication skills
  • Proven ability to multitask in a fast-paced environment
  • Comfortable discussing pricing, memberships, packages, and retail products
  • Strong sales and customer service mindset
  • Professional appearance and positive attitude
  • Reliable, punctual, and team-oriented
  • Availability to work some evenings and at least one Saturday per month is required
Preferred Experience
  • Medical spa or aesthetic practice experience
  • Knowledge of injectables, laser treatments, skincare, and wellness services
  • Experience with EMR such as Mangoming, Boulevard, Aesthetic Record, Zenoti, PatientNow, Nextech, or similar software
  • Retail sales experience with medical-grade skincare products
