Job description

Position Summary

We are seeking a highly organized and detail-oriented Office Manager with experience in air freight operations. The ideal candidate will be responsible for managing daily office activities while overseeing air export documentation, shipment coordination, and operational support. This position requires strong communication skills, excellent English proficiency, and the ability to work effectively in a fast-paced environment under pressure.

Key Responsibilities

  • Prepare and process IATA MASTER Air Waybills (MAWB) accurately and efficiently.
  • Prepare and submit Shipper's Export Declarations (SED) and other export-related documentation.
  • Coordinate and monitor air freight shipments from origin to destination.
  • Maintain communication with airlines, customers, agents, and vendors regarding shipment status and operational requirements.
  • Maintain and manage TSA SAVVY (Known Shipper Management System) records, verify shipper information, ensure compliance with TSA regulations, and process known shipper validations as required for air cargo security requirements.
  • Manage daily office operations and administrative functions.
  • Resolve operational issues and customer inquiries promptly and professionally.
  • Ensure compliance with transportation, customs, TSA, and company regulations.
  • Maintain accurate records and documentation of shipments and office activities.
  • Utilize freight forwarding and logistics software, including Magaya, for shipment processing and tracking.
  • Perform accounting and bookkeeping tasks using QuickBooks.
  • Manage emails, calendars, and communications through Microsoft Outlook.
  • Generate reports and maintain data using Microsoft Office applications.
  • Support management with operational and administrative projects as required.

Qualifications

Required

  • High School Diploma or equivalent; college education preferred.
  • Minimum 2 years of experience in air freight, freight forwarding, logistics, or related operations.
  • Experience preparing AWBs, SEDs, and export documentation.
  • Strong knowledge of Microsoft Outlook and Microsoft Office Suite.
  • Proficiency in QuickBooks and Magaya software.
  • Excellent written and verbal communication skills in English.
  • Strong organizational and multitasking abilities.
  • Ability to work independently and as part of a team.
  • Strong problem-solving and issue-resolution skills.
  • Ability to work under pressure and meet tight deadlines.
  • High attention to detail and accuracy.

Preferred

  • Experience in international freight forwarding and logistics operations.
  • Knowledge of U.S. export regulations and shipping documentation.
