Overview

The Marketing Production Coordinator at Velocity and its portfolio of brands plays a critical role in managing the day-to-day flow of marketing and creative production. This role is responsible for organizing incoming requests, building and maintaining projects within project management tools, assigning tasks, monitoring timelines, and ensuring deliverables move efficiently from kickoff through completion.

Serving as the operational hub of the marketing department, this individual works closely with creative, digital, content, and leadership teams to keep projects organized, prioritized, and on schedule. The ideal candidate thrives in a fast-paced environment and brings strong experience coordinating creative workflows and marketing production processes.

Success in this role requires strong communication, accountability, adaptability, and the ability to manage multiple moving projects simultaneously while maintaining Velocity's high standards for quality, execution, and brand consistency.

Duties and Responsibilities

Production Intake & Workflow

  • Receive, review, assign, and manage incoming marketing requests across campaigns, creative deliverables, and content needs.
  • Prioritize and schedule projects based on deadlines, resources, and strategic goals.
  • Review project briefs and ask clarifying questions to ensure objectives, deliverables, and timelines are clearly defined before work begins.

Project Coordination & Communication

  • Facilitate project kickoffs, sprint planning sessions, and cross-team check-ins to align stakeholders.
  • Serve as a central point of coordination between creative, digital, content, leadership, and external partners.
  • Communicate timelines, dependencies, workloads, and production priorities clearly across teams to maintain alignment and keep projects on track.
  • Coordinate and schedule key meetings, document decisions and action items, and ensure follow-up.

Process & Workflow Management

  • Manage and maintain the master marketing calendar, ensuring campaigns, events, and deliverables align with organizational priorities and milestones.
  • Identify opportunities to streamline processes, reduce turnaround times, and improve quality.
  • Adjust timelines, priorities, and workflows as project needs evolve while ensuring stakeholders remain informed and aligned.
  • Build, organize, and maintain projects, timelines, task assignments, approvals, and deliverables within Basecamp and other project management systems.
  • Own project visibility across the marketing department by proactively tracking deadlines, dependencies, workloads, approvals, and production progress from kickoff through completion.
  • Monitor project backlog, follow up with stakeholders, and proactively address bottlenecks or shifting priorities to keep deliverables on schedule.
  • Help establish and maintain scalable production workflows, templates, and organizational systems that improve efficiency across the department.

Photo, Video & Event Coordination

  • Assist with coordinating photo and video production projects, including scheduling, resources, and deliverables.
  • Support event marketing initiatives by tracking timelines and ensuring cross-team coordination.
  • Ensure production schedules align with overall campaign timelines.

Vendor & Resource Coordination

  • Liaise with external vendors, agencies, and freelancers to manage timelines and deliverables.
  • Request quotes, review contracts, and ensure timely delivery of outside creative or production needs.
  • Ensure vendor deliverables meet Velocity's quality and brand standards.

Quality & Brand Consistency

  • Support the creative team lead and digital marketing team lead in ensuring deliverables align with Velocity's brand standards.
  • Partner across internal teams (creative, digital, sales, PR, events) to ensure consistent messaging across all channels.
  • Coordinate and maintain client-facing collateral (inventory sheets, brochures, event materials) within a Digital Asset Management (DAM) system.

Performance & Reporting

  • Generate weekly project status updates and production reports for leadership and stakeholders.
  • Track project progress, production timelines, workload distribution, and task completion to ensure deliverables remain on schedule.
  • Identify workflow risks, production bottlenecks, or timeline conflicts early and help coordinate solutions to keep projects moving efficiently.

Key Performance Indicators (KPIs)

  • On-Time Delivery: 98%+ of marketing projects and campaigns delivered by agreed deadlines.
  • Request Turnaround: Average of 1 business day or less for processing and assigning incoming project requests.
  • Cross-Team Satisfaction: Average satisfaction score of 8/10+ from internal stakeholders on communication, clarity, and execution.
  • Workflow Efficiency: Quarterly reduction in project bottlenecks, measured by fewer delayed tasks and smoother handoffs.
  • Tool Utilization: 98%+ of active projects consistently tracked in project management software.
  • Production Coordination: Photo/video shoots and event deliverables meet 100% of pre-defined schedules without last-minute rescheduling.
  • Reporting Cadence: Weekly project status reports delivered to leadership on time and with actionable insights.
  • Production Execution: Marketing and creative deliverables are completed accurately, efficiently, and on schedule.

Required Skills and Abilities

  • Proven ability to manage multiple marketing campaigns, creative projects, and event-based initiatives concurrently.
  • Strong interpersonal and communication skills with the ability to collaborate across departments.
  • Proficiency in project management tools (Basecamp, Monday.com, Asana, Trello, or similar).
  • Familiarity with marketing channels including digital, print, video, events, and PR.
  • Strong reporting and documentation skills, including archival of project records.
  • Composed under pressure and adept at problem-solving in dynamic, shifting environments.
  • Strong understanding of creative production workflows, including design, photography, video, print production, and marketing deliverables.
  • Highly organized, detail-oriented, and proactive with strong follow-through and accountability.
  • Ability to manage multiple fast-moving projects simultaneously while maintaining accuracy, organization, and communication across teams.
  • Comfortable operating in fast-paced environments with shifting priorities and deadlines.

Education Background and Experience

  • Bachelor's degree in Marketing, Communications, Project Management, or related field preferred.
  • 3-5 years of experience in marketing production coordination, creative operations, project trafficking, agency production, or similar workflow-focused role.
  • Project management certification (PMP, CAPM, or equivalent) a plus.
  • Experience in automotive, luxury, or lifestyle industries preferred but not required.

Physical Demands (To include but not limited to)

  • Prolonged periods of sitting at a desk or workstation.
  • Occasional standing or walking within the office or shop.
  • Lifting and carrying items up to 20 pounds.
  • Frequent use of hands for typing and computer work.
  • Communication with vendors, team members, and leadership via in-person, phone, or video.
  • Exposure to noise and activity when near shop areas (PPE may be required).
  • Ability to safely operate a motor vehicle.
