Location Designation:ย Hybrid - 3 days per weekย 

Foundation Program & Grantsย Associateย 

Department:ย Corporate Responsibility & New York Life Foundationย 
Reports to:ย VP, Corporate Responsibility & NYL Foundationย 
Travel:ย 5-10%ย 

Positionย Summaryย 

Theย New York Life Foundation isย seekingย a highly organized, detail-orientedย Foundation Program & Grants Associateย toย help advance the Foundation's grantmakingย andย partnershipย work. Working closely with the VP and program leads, this role supportsย strategicย grantmaking,ย grantsย administration, RFP processes,ย grantee coordination,ย and project managementย of grantee deliverables. The Associate will conduct research, support proposal review and due diligence, track reports and outcomes, and draft grant recommendations, briefs, updates, and other materials for VP review. This role is ideal for someone who brings strong follow-through, clear communication, and a collaborative approach to supporting grantees, partners, and key Foundation initiatives.ย 

What You'll Do:

1) Grantmaking and Grant Administrationย 

  • Support grant administrationย fromย initial researchย andย due diligence throughย internal approvals,ย agreements, documentation, and complete grant files.ย 
  • Support management ofย assigned grants across the lifecycle, including payment coordination, reporting, renewals, and closeout.ย 
  • Draftย grant recommendationsย and supporting materialsย by researching grantees, compilingย key information, andย summarizingย strategicย fit, rationale, risks, and termsย for VP review.ย 
  • Create and update core grant materials, includingย briefs, trackers, approval packets, contact lists, and closeout documentation.ย 
  • Maintainย accurateย grant system entries, reminders, andย reviewย routing;ย identifyย process improvementsย in partnership with the operations team.ย 

2) Grantee Support andย Relationshipย Managementย 

  • Supportย strongย grantee relationships byย coordinatingย meetings, agendas,ย logistics, follow-ups, and regular check-ins.ย 
  • Attend assigned granteeย andย partner meetings;ย captureย notes, decisions, andย action items; andย follow up toย helpย ensureย nextย steps are completed.ย 
  • Track granteeย reports and deliverables; summarize progress against scope,ย timelines, and outcomes;ย andย flag risksย or recommendedย nextย steps for VP review.ย 
  • Research grantees and focus areas; prepare short briefs, talking points, and updates for leadership and internal stakeholders.ย 

3) RFP Administrationย ย 

  • Provide administrative support for Foundation RFPs, including Community Impact Grants, Grief Reach, and Coaching the Future, which are managedย byย the Seniorย Associate. Support launch, outreach, review,ย selection, award documentation, reporting, and follow-up.ย 
  • Coordinateย applicantย andย granteeย communications, information requests, office hours or convenings, andย timelyย follow-up, elevatingย questionsย or issues asย appropriate.ย 
  • Maintain RFP calendars, application and review materials, trackers, scoring and decision documentation, and status updates; coordinate reviewers andย helpย ensure key deadlines are met.ย 

4) Project Management, Initiatives, andย Special Projectsย 

  • Provideย projectย management supportย forย granteeย deliverables andย Foundationย initiatives, includingย milestones,ย timelines,ย dependencies, action logs,ย check-ins,ย andย status updates.ย 
  • Support the Grief-Supportive Workplace Initiative and Grief-Sensitive Schools Initiativeย byย coordinating partner touchpoints,ย trainings,ย materials, reporting requirements, andย activities thatย advanceย adoption and impact.ย 
  • Supportย grant-relatedย trainings, convenings, partner meetings,ย timelines,ย logistics, and materialsย in collaboration with the engagement team.ย 
  • Provide logistical support forย granteeย engagement activities and events, including on-site support as needed.ย 
  • Contribute toย otherย projects and prioritiesย as needed to supportย theย evolvingย work of theย Foundation.ย 

What You'll Bring:

  • Bachelor's degreeย preferred.ย 
  • 4+ years of relevant experience in philanthropy,ย grantmaking,ย grantsย administration, nonprofit programs, project coordination, orย a relatedย field.ย 
  • Excellentย writing and analytical skills, with the ability toย developย clear recommendations, briefs, and updates forย senior leaders and internal stakeholders.ย 
  • Strong project management skills, including the ability to manage multiple priorities,ย meet deadlines, and coordinateย effectivelyย acrossย teams andย stakeholders.ย 
  • Highly detail-oriented and comfortable using grant systems and common tools (Excel/Sheets, SharePoint/Teams, etc.).ย 
  • Sound judgment, reliable follow-through, and a collaborative working style, with the abilityย toย engage professionallyย with external partners andย work thoughtfullyย on sensitive topics.ย 
  • Experience supporting competitive RFP processes and managing grant or nonprofit partner relationships preferred.ย 

Pay Transparency

Salary Range:ย $65,000-$92,500ย 

Overtime eligible:ย Exemptย 

Discretionary bonus eligible:ย Yesย 

Sales bonus eligible:ย Noย 

Actual base salary will be determined based on several factors but not limited to individual's experience, skills, qualifications, and job location. Additionally, employees are eligible for an annual discretionary bonus. In addition to base salary, employees may also be eligible to participate in an incentive program.
