PositionΒ SummaryΒ 

TheΒ New York Life Foundation isΒ seekingΒ a highly organized, detail-orientedΒ Foundation Program & Grants AssociateΒ toΒ help advance the Foundation's grantmakingΒ andΒ partnershipΒ work. Working closely with the VP and program leads, this role supportsΒ strategicΒ grantmaking,Β grantsΒ administration, RFP processes,Β grantee coordination,Β and project managementΒ of grantee deliverables. The Associate will conduct research, support proposal review and due diligence, track reports and outcomes, and draft grant recommendations, briefs, updates, and other materials for VP review. This role is ideal for someone who brings strong follow-through, clear communication, and a collaborative approach to supporting grantees, partners, and key Foundation initiatives.Β 

What You'll Do:

1) Grantmaking and Grant AdministrationΒ 

  • Support grant administrationΒ fromΒ initial researchΒ andΒ due diligence throughΒ internal approvals,Β agreements, documentation, and complete grant files.Β 
  • Support management ofΒ assigned grants across the lifecycle, including payment coordination, reporting, renewals, and closeout.Β 
  • DraftΒ grant recommendationsΒ and supporting materialsΒ by researching grantees, compilingΒ key information, andΒ summarizingΒ strategicΒ fit, rationale, risks, and termsΒ for VP review.Β 
  • Create and update core grant materials, includingΒ briefs, trackers, approval packets, contact lists, and closeout documentation.Β 
  • MaintainΒ accurateΒ grant system entries, reminders, andΒ reviewΒ routing;Β identifyΒ process improvementsΒ in partnership with the operations team.Β 

2) Grantee Support andΒ RelationshipΒ ManagementΒ 

  • SupportΒ strongΒ grantee relationships byΒ coordinatingΒ meetings, agendas,Β logistics, follow-ups, and regular check-ins.Β 
  • Attend assigned granteeΒ andΒ partner meetings;Β captureΒ notes, decisions, andΒ action items; andΒ follow up toΒ helpΒ ensureΒ nextΒ steps are completed.Β 
  • Track granteeΒ reports and deliverables; summarize progress against scope,Β timelines, and outcomes;Β andΒ flag risksΒ or recommendedΒ nextΒ steps for VP review.Β 
  • Research grantees and focus areas; prepare short briefs, talking points, and updates for leadership and internal stakeholders.Β 

3) RFP AdministrationΒ Β 

  • Provide administrative support for Foundation RFPs, including Community Impact Grants, Grief Reach, and Coaching the Future, which are managedΒ byΒ the SeniorΒ Associate. Support launch, outreach, review,Β selection, award documentation, reporting, and follow-up.Β 
  • CoordinateΒ applicantΒ andΒ granteeΒ communications, information requests, office hours or convenings, andΒ timelyΒ follow-up, elevatingΒ questionsΒ or issues asΒ appropriate.Β 
  • Maintain RFP calendars, application and review materials, trackers, scoring and decision documentation, and status updates; coordinate reviewers andΒ helpΒ ensure key deadlines are met.Β 

4) Project Management, Initiatives, andΒ Special ProjectsΒ 

  • ProvideΒ projectΒ management supportΒ forΒ granteeΒ deliverables andΒ FoundationΒ initiatives, includingΒ milestones,Β timelines,Β dependencies, action logs,Β check-ins,Β andΒ status updates.Β 
  • Support the Grief-Supportive Workplace Initiative and Grief-Sensitive Schools InitiativeΒ byΒ coordinating partner touchpoints,Β trainings,Β materials, reporting requirements, andΒ activities thatΒ advanceΒ adoption and impact.Β 
  • SupportΒ grant-relatedΒ trainings, convenings, partner meetings,Β timelines,Β logistics, and materialsΒ in collaboration with the engagement team.Β 
  • Provide logistical support forΒ granteeΒ engagement activities and events, including on-site support as needed.Β 
  • Contribute toΒ otherΒ projects and prioritiesΒ as needed to supportΒ theΒ evolvingΒ work of theΒ Foundation.Β 

What You'll Bring:

  • Bachelor's degreeΒ preferred.Β 
  • 4+ years of relevant experience in philanthropy,Β grantmaking,Β grantsΒ administration, nonprofit programs, project coordination, orΒ a relatedΒ field.Β 
  • ExcellentΒ writing and analytical skills, with the ability toΒ developΒ clear recommendations, briefs, and updates forΒ senior leaders and internal stakeholders.Β 
  • Strong project management skills, including the ability to manage multiple priorities,Β meet deadlines, and coordinateΒ effectivelyΒ acrossΒ teams andΒ stakeholders.Β 
  • Highly detail-oriented and comfortable using grant systems and common tools (Excel/Sheets, SharePoint/Teams, etc.).Β 
  • Sound judgment, reliable follow-through, and a collaborative working style, with the abilityΒ toΒ engage professionallyΒ with external partners andΒ work thoughtfullyΒ on sensitive topics.Β 
  • Experience supporting competitive RFP processes and managing grant or nonprofit partner relationships preferred.Β 

Pay Transparency

Salary Range:Β $65,000-$92,500Β 

Overtime eligible:Β ExemptΒ 

Discretionary bonus eligible:Β YesΒ 

Sales bonus eligible:Β NoΒ 

Actual base salary will be determined based on several factors but not limited to individual's experience, skills, qualifications, and job location. Additionally, employees are eligible for an annual discretionary bonus. In addition to base salary, employees may also be eligible to participate in an incentive program.
