Job description

We are seeking a reliable and detail-oriented Administrative Assistant to sit in our Eden Prairie, MN headquarters to support our executive team with a range of administrative tasks. Core responsibilities include but are not limited to coordinating travel, preparing itineraries and meeting documents, filing expense reports, managing document workflows for signature, and supporting special events and programs. This role requires someone with strong organizational skills, excellent time management, and the ability to handle multiple tasks simultaneously with strong communication across all stakeholders.
WHAT YOU'LL DO
  • Coordinate administrative tasks and workflow within the office
  • Coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries
  • Prepare, review, and submit detailed expense reports in a timely manner for members of the executive leadership team
  • Manage the Signature Requests email box; print, route, and collect wet signatures on legal and business-critical documents
  • Organize and maintain both electronic and paper filing systems
  • Perform notary duties as needed and requested
  • Support scheduling of meetings, appointments, and events, including coordination across multiple stakeholders and time zones
  • Processing and directing mail and incoming packages or deliveries
  • Prepare meeting materials and agendas as needed
  • Place orders for baby gifts, funeral arrangements, special team recognition, etc.
  • Be a back up to the facilities team to coordinate and manage onsite fun events, such as happy hours, holiday events, showers, retirement parties, etc
  • Maintain a high degree of confidentiality and professionalism at all times
  • Various other duties as assigned

QUALIFICATIONS
  • 2-5 years of experience in an administrative or office support role
  • Proficiency with Microsoft Office (Outlook, Excel, Word, and Powerpoint)
  • Experience with travel booking platform and expense reporting systems
  • Comfortable handling sensitive legal documents and maintaining confidentiality
  • Strong attention to detail and a proactive, solution-oriented mindset
  • Excellent communication and interpersonal skills

Compensation: $22/hr - $28/hr
