Job description

Job Title:  Graduate Assistant for Facilities and Operations  

Department: Athletics and Recreation 

Reports to: Associate Director of Athletics & Associate Vice President of Athletics and Recreation  

Effective Date: 8/1/26

# of Direct Reports: 0          # of People Supported: 2 

Job Description: 

The position will report directly to the Assistant Director of Athletics and assist with all aspects of game operations including, but not limited to hockey and baseball site administration, coordination of officials and student workers for all home contests as well as ticketing for select contests. The successful candidate will also assist with the scheduling of all athletic department facilities, including varsity team practices and games, intramural events as well as external rentals. Secondary, this position will provide back-up administrative support to the athletic department administrative staff. 

Responsibilities for Graduate Assistant for Facilities and Operations 

Specific Responsibilities:  

Include, but are not limited to:  

  • Primary site administrator for Men’s & Women’s Hockey and Baseball (Approximately 40-50 games) 
  • Draft, create, manage, and assign all game contracts for home and away contests 
  • Coordinate all pre-contest correspondence between officials and visiting institution 
  • Provide visitors information to all officials and visiting institutions 
  • Create detailed pregame itinerary for all home contests 
  • Provide payment voucher and payment information to all officials across all sports 
  • Procure, coordinate, assign and maintain all transportation contracts, confirmations and invoices 
  • Coordinate with on campus partners such as campus safety to staff home contests 
  • Provide secondary administrative support for the administrative athletics staff 
  • Assist with management of all ticketing operations and promotional events at home contests 
  • Assist with planning, set-up and breakdown of all major events such as; playoff games, Red Madness, Senior Banquet, and Hall of Fame 
  • Assist with the day-to-day maintenance of all the athletically controlled facilities on campus and ensure that all electronic devices are working correctly 
  • Assist with the training, hiring, and assigning of all game day workers 
  • Provide support for Athletic Training staff in case of emergency and be prepared to operate an Emergency Action Plan when needed. 
  • Maintain Master Athletics Calendar for each fiscal year 
  • Assist the Associate Athletic Director with the scheduling of external events, academic classes, intramurals, and rentals  
  • Monitor schedules of all sports including games and practices 
  • Assist with servicing the athletic department vehicles as assigned 
  • Serve in various game day roles as assigned  

Duties/Additional Responsibilities: 

  • Ensure compliance with all University, Conference, and NCAA rules and bylaws 
  • Assist with Game Operation and Game Management as needed 
  • Additional responsibilities as assigned by the Head Coach and Associate Vice President of Athletics and Recreation 
  • Ability to commute to and from off-site practice facilities as needed 

Required Skills/Abilities:  

  • Must have general sport knowledge 
  • Previous work in an Athletic Department 
  • Ability to set-up sport specific facility needs 
  • Ability to work nights, weekends, and travel as needed for competitions 
  • Strong interpersonal skills to communicate with student athletes, coaches, campus community, and alumni. 
  • Time management skills 
  • Proficient with Microsoft Office Suite  
  • Understanding and commitment to the mission and purpose of Manhattanville University 

Qualifications:  

  • Bachelor’s Degree  
  • Collegiate or professional playing experience  
  • Valid Driver’s License 

Education: Bachelor’s Degree Required 

Physical Requirements:  

  • Lifting 50 pounds maximum with frequent lifting and/or carrying of objects.  
  • Organizing, transporting, and setting up team specific training aids and facility maintenance 

Salary:  

  • $5,000 Stipend paid over 10 months  
  • Tuition Remission (9 credits per semester)  
  • Subject to maintaining a 3.0 GPA each semester for a maximum of four academic semesters.  
  • Summer classes are subject to approval  
  • On-Campus Housing 
  • Limited Meal Plan 

Hours Expectation: 

  • Part-time, average load of 20 hours per week over the duration of the appointment period 
  • Ability to work a flexible schedule, including evenings, overnights and weekends.   
  • Travel to competition(s) as assigned
