PURPOSE OF POSITION: Book and coordinate private group functions at Deer Valley and communicate the details of the events with all teams across the resort.

RESPONSIBILITIES:

  • Execute the sales strategy to maximize banquet business at Deer Valley Resort
  • Book and execute banquet business to reach or exceed established sales goals
  • Follow SOPs relative to Salesforce database entry and reporting
  • Solicit banquet, meeting, and event business through coordinated efforts with Group Sales in proposing banquet programs for group bookings, in conjunction with resort offerings or stand-alone options
  • Respond to incoming sales leads in an expedited fashion to gain leverage over competition. Online channels include but are not limited to; Wedding Wire, The Knot, Wedding Spot, Cvent and Park City Chamber Bureau
  • Initiate, coordinate and conduct site tours and FAMs, showcasing banquet spaces in attempt to close business
  • Attend Deer Valley Resort Sales team meetings and Banquet BEO meetings
  • Follow all best practices and SOPs from the Vice President of Sales, Director of Sales, and Banquet Sales Manager, as well as F&B best practices
  • Coordinate audio visual needs with in-house provider and update all billing prior to submitting final bill to A/R to record
  • Day-to-day activities include internal and external client correspondence, documenting booking trails, banquet event order build out and review, diagramming of upcoming events, and working through the overall process of closing group business for Deer Valley
  • Establish and secure deposits through Sertifi payments and work with Deer Valley Finance on A/R billing for outstanding balances, when necessary, at the conclusion of the event
  • Complete all group billings within the bi-weekly payroll timeframe
  • Actively participate in Alterra's Wedding Sales meetings as well as the Meeting/Event Sales meetings when the Banquet Sales Manager is absent
  • Collaborate with fellow Alterra planners to share best practices at our resorts and build/improve processes to grow banquet business throughout the year
  • Communicate up-to-date information regarding Deer Valley's operational plan to our existing groups as well as future business, including construction projects that may impact events
  • Coordinate meeting and food and beverage functions, acting as the liaison between Deer Valley operational staff, including chefs, stewards, banquet supervisors, lodge managers, F&B banquet operations/services managers and the client
  • Report concerns, negative appearances and comments regarding food preparation/presentation as well as lodge/venue upkeep
  • Responsible for communicating and/or ensuring all details are correct and the client has received proper introduction to the banquet operational supervisor overseeing the event
  • Complete correspondence, i.e., confirmation letters, signed payment agreements, function sheets, deposits, credit information, thank you letters
  • Maintain knowledge and create strong bonds with local industry leaders, including DMCs, entertainment, rental equipment, decor and floral companies, etc. to best promote Deer Valley as a whole
  • Effectively communicate in a timely manner with the Banquet Operation Managers regarding all pertinent information about the upcoming event to be executed, including revised banquet event orders, final guarantees, menu changes, diagram updates, etc.
  • Possess a complete working knowledge of the physical and operational restrictions of our lodges as they pertain to group functions and staffing levels. Be mindful when selling group business about the event, not only working with the facility, but also with staffing/event levels in mind
  • Maintain a flexible schedule to be able to step into additional resort roles as necessary, including working weekends, holidays, and evenings
  • Other duties as assigned

QUALIFICATIONS:

  • Bachelor's degree in hospitality management, Event Planning, or a related field (or equivalent experience).
  • Minimum of 3-5 years of experience in event planning and management, preferably in a luxury hotel/resort setting.
  • Good working knowledge with Salesforce/Delphi.FDC, MS Outlook software, Sertifi E Sign, Cvent, Delphi Diagraming, Maestro and Norm.
  • Strong knowledge of conference and event planning principles, including logistics, audiovisual requirements, and food and beverage services.
  • Excellent organizational and time management skills, with the ability to prioritize and manage multiple projects simultaneously.
  • Exceptional attention to detail, ensuring accuracy and quality in all aspects of event planning and execution.
  • Outstanding communication and interpersonal skills, with the ability to build relationships and effectively collaborate with clients, guests, and internal teams.
  • Flexibility to work evenings, weekends, and holidays as required by event schedules.
