Job description

Job Summary:

The Flight Coordinator Manager is responsible for leading the Flight Coordination and Customer Service team while overseeing daily flight schedules, operational logistics, and client support. This position plays a critical role in maintaining safe, efficient, compliant, and customer-focused flight operations.


The ideal candidate is a hands-on servant leader who can guide a team, manage multiple priorities, solve problems quickly, and help strengthen the systems and standards of a growing flight operation.


Responsibilities:

  • Lead, supervise, schedule, and support Flight Coordinators and Customer Service Representatives
  • Oversee daily flight schedules and ensure all operational logistics are completed accurately and on time
  • Serve as an escalation point for operational, scheduling, and client-related matters
  • Monitor flights, weather, NOTAMs, airport conditions, and aircraft status
  • Coordinate and communicate with flight crews, maintenance personnel, FBOs, vendors, and clients
  • Arrange and oversee trip-related services
  • Review itineraries, trip sheets, passenger information, and operational documentation for accuracy and completeness
  • Maintain accurate operational records in accordance with company policies and applicable Part 91 and Part 135 requirements
  • Develop, implement, and maintain departmental procedures, checklists, and service standards
  • Train and evaluate Flight Coordinators and Customer Service Representatives
  • Support employee onboarding, recurrent training, and continued professional development
  • Identify operational gaps and implement solutions that improve safety, efficiency, communication, and client satisfaction
  • Assist with after-hours operational coverage and respond to urgent matters when necessary
  • Ensure aircraft are properly stocked, presented, and prepared for scheduled flights, including coordinating or assisting with interior cleaning when needed
  • Provide exceptional leadership and customer support in a fast-paced aviation environment
  • Support compliance with applicable TSA security programs, procedures, record-keeping, and passenger-vetting requirements.
  • Perform other duties as assigned


Requirements:

  • College or technical degree required; degree does not have to be aviation-related
  • Prior Part 91 and/or Part 135 dispatch, flight coordination, or aviation operations experience
  • Prior experience working with TSA requirements, security programs, passenger vetting, or aviation security compliance
  • Previous leadership, supervisory, or team-management experience
  • Strong customer service background
  • Excellent written and verbal communication skills
  • Strong decision-making, organizational, and problem-solving abilities
  • Ability to lead calmly and effectively during time-sensitive or irregular operations
  • Ability to manage multiple flights, employees, clients, and operational priorities simultaneously
  • High level of accuracy and attention to detail
  • Availability to work a flexible schedule, including evenings, weekends, holidays, and after-hours coverage as operationally necessary
  • Ability to successfully complete required pre-employment and random drug screenings
  • Random drug screenings are required


Preferred Qualifications

  • Experience with Schedaero, Avinode, and Microsoft 365
  • Knowledge of FAA regulations applicable to Part 91 and Part 135 operations
  • Familiarity with weather systems, NOTAMs, flight-tracking platforms, and flight-planning tools
  • Experience developing operational procedures, training materials, or departmental workflows
  • Experience managing aviation customer service or flight-operations personnel
