Role Overview

As a Document Control Specialist, you will play a critical role in maintaining the accuracy, integrity, and accessibility of engineering and project documentation throughout the project lifecycle. This position supports transmission, distribution, substation, renewable, and industrial infrastructure projects by managing document workflows, revision controls, deliverable tracking, and records management activities. Working closely with project managers, engineers, designers, clients, and contractors, you will help ensure documentation complies with project requirements, quality standards, and regulatory obligations while supporting efficient project execution.

How You Will Make an Impact

  • Administer and maintain document control processes for engineering, design, construction, and project-related documentation throughout the project lifecycle.
  • Process, distribute, track, and archive controlled documents, including drawings, specifications, reports, calculations, procedures, RFIs, submittals, and project correspondence.
  • Manage document revisions, approval workflows, transmittals, and distribution processes to ensure teams are working from current and approved documentation.
  • Perform document quality checks to verify compliance with company standards, client requirements, naming conventions, metadata requirements, and document control procedures.
  • Maintain master tracking logs for project deliverables and provide reporting on document status, overdue actions, and project milestones to support project management and leadership teams.
  • Support engineering drawing management, including tracking, review routing, issuance, record drawing updates, and project closeout documentation.
  • Coordinate with internal teams, clients, contractors, and subcontractors to ensure timely submission, review, approval, and retention of project documentation.

What You Will Bring

  • Associate's or Bachelor's degree in Business Administration, Engineering Technology, Information Management, Project Management, or a related field preferred.
  • Minimum of 3-5 years of document control, records management, project administration, or engineering support experience.
  • Experience supporting utility, power delivery, transmission, distribution, substation, renewable energy, industrial, or infrastructure projects preferred.
  • Demonstrated experience using Electronic Document Management Systems (EDMS) such as ProjectWise, SharePoint, FileNet, Aconex, Documentum, or similar platforms.
  • Strong understanding of document lifecycle management, revision control, records retention, and project deliverable management.
  • Familiarity with engineering drawings, drafting standards, and engineering review workflows.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Ability to prioritize multiple projects, deadlines, and stakeholder requests in a fast-paced environment.
  • Advanced proficiency with Microsoft Office applications, including Excel, Word, Outlook, and SharePoint.
  • Experience generating reports, dashboards, and status updates for project leadership is preferred.

Work Environment & Preferences

  • Work Model: Office-based, hybrid, or remote arrangements may be available based on business needs and candidate location.
  • Schedule: Full-time.
  • Travel Requirements: Minimal travel; occasional attendance at project meetings, training sessions, or client locations may be required.
  • Physical Requirements: Primarily sedentary work involving extended computer use. Must be able to review electronic and hard-copy documents, communicate effectively with project teams, and occasionally lift or move files and project records.
