Job description

This is a substitute, leave-of-absence (LOA) position for secretary at Lincoln School. Spanish speaking is preferred.

Position Overview

Lincoln School is seeking a dedicated, organized, and welcoming School Front Office Secretary to join our administrative team. As the primary point of contact for our school, you will set the tone for our warm, supportive community. You will manage daily front desk operations, support administrative staff, maintain student records, and ensure smooth communication between families, staff, and visitors.

Key Responsibilities

Front Desk & Customer Service

  • Serve as the primary receptionist, greeting parents, students, visitors, and district personnel with a professional and welcoming attitude.
  • Manage the visitor sign-in/sign-out system, issue visitor badges, and strictly enforce campus security protocols.
  • Answer incoming phone calls, route calls to appropriate personnel, take accurate messages, and respond to general inquiries.
  • Process incoming and outgoing mail, deliveries, and inter-office correspondence.

Administrative & Clerical Support

  • Assist the Principal and administrative team with correspondence, scheduling appointments, preparing reports, and organizing school events.
  • Maintain student attendance records, follow up on unexcused absences, and log late arrivals and early dismissals.
  • Register new students, process student record requests, and maintain confidential cumulative files in accordance with FERPA guidelines.
  • Draft, edit, and distribute school communications, including weekly newsletters, event flyers, and automated phone/email announcements.

Operations & Logistics

  • Maintain and restock office and teacher mailroom supplies, processing purchase orders as needed.
  • Manage basic student health desk needs (e.g., administering basic first aid, contacting parents for ill students) when the school nurse is unavailable.
  • Assist in coordinating school safety drills (fire, lockdown, weather) alongside building leadership.

Qualifications & Skills

Required:

  • High School Diploma or GED equivalent.
  • Proficiency with Google Workspace (Docs, Sheets, Gmail) and Microsoft Office Suite (Word, Excel, Outlook).
  • Strong verbal and written communication skills.
  • Exceptional organizational skills and the ability to multitask in a fast-paced environment.
  • Ability to maintain strict confidentiality regarding student, family, and personnel information.

Preferred:

  • Bilingual capabilities (e.g., English/Spanish) are highly desired.
  • Minimum of 2 years of clerical, receptionist, or administrative support experience.
  • Associate degree or administrative certification.
  • Prior work experience in an educational, public sector, or childcare environment.
  • Familiarity with Student Information Systems (SIS) such as TeacherEase, PowerSchool, Infinite Campus, or Skyward.

Pre-Employment Requirements:

  • Must pass a state and federal background check, including fingerprinting.
