Database Coordinator

Children’s Home Network (CHN)
Location: Remote/Hybrid
Salary: $55,000 annually

Position Summary

Children’s Home Network is seeking a detail-oriented, highly organized Database Coordinator with demonstrated experience in Blackbaud Raiser's Edge/NXT to support and strengthen our fundraising and stewardship efforts. Reporting directly to the Director of Development, this position plays a critical role in maintaining the integrity of donor data, overseeing gift processing, providing actionable fundraising reports, managing prospect research, and ensuring best practices for database administration.

The ideal candidate will be a proactive problem solver with strong analytical, project management, communication, and organizational skills. This individual will help establish and maintain procedures, protocols, and reporting systems that support CHN’s mission of unlocking the potential of at-risk children and families.

Essential Duties and Responsibilities

Database Management

  • Serve as the primary administrator for Blackbaud Raiser's Edge/NXT.
  • Stay current on Raiser's Edge/NXT functionality and recommend enhancements to improve system utilization and operational efficiency.
  • Research, implement, and manage system updates and enhancements.
  • Conduct regular database audits and establish processes to ensure data accuracy, consistency, and integrity.
  • Maintain database health through duplicate identification, record merges, returned mail processing, and constituent updates.
  • Perform database cleanup activities, including:
    • Constituent code reconciliation
    • Duplicate record management
    • Address standardization
    • Relationship code maintenance
    • Quarterly database health updates for addresses, phone numbers, email records, and deceased constituent information
  • Manage user accounts, permissions, and security settings while ensuring compliance with organizational policies.
  • Oversee data entry, database maintenance, and reporting functions.
  • Serve as liaison with Blackbaud and related vendors to troubleshoot issues, evaluate upgrades, and resolve support needs.
  • Manage all data imports and exports related to online giving, events, and fundraising initiatives.
  • Validate daily gift and batch processing activities.
  • Generate mailing lists and segmented donor lists for fundraising, stewardship, and communication purposes.
  • Create, maintain, and update automated gift receipt and acknowledgment templates.
  • Produce monthly reconciliation reports for collaboration with Finance.
  • Manage constituent records and build targeted lists for development activities.
  • Set up and maintain online donation forms, event registrations, and fundraising campaigns.

Reporting and Analysis

  • Responsible for creating reports, queries, exports, and imports to the database, building dashboards, fundraising reports, and comparisons to support Mission Advancement and Finance.
  • Creates internal and external quantitative fundraising dashboards and reports to view and monitor progress toward goals. Ensures systems and processes are aligned to ensure accurate, consistent, and timely data reporting.
  • Communicate with the Director of Development to resolve technical problems or adjustments that must be made to ensure accurate processing of gifts.
  • Generate weekly acknowledgment letters.


Prospect Research

  • Prepare detailed, actionable prospect profiles that give the fundraising and event teams the insights they need to build meaningful donor relationships.
  • Put together major donor portfolios
  • Track moves management
  • Oversee the iWave donor wealth research platform.


Training and Development

  • Serves as the first line of support for technical needs, troubleshoots issues, and engages in external support when needed to support technology-related issues.
  • Manage the policies and processes to ensure the successful creation and running of queries for direct mail and email programs, stewardship mailings, event invitations, and requested Advancement-related reports.
  • Work with the Development Director to implement SOPs for data entry and creation of new constituent records. Oversee the policies and processes for maintaining data integrity, compliance, security, privacy, and gift information.
  • Train new staff members on fundraising systems and tools, making sure that everyone feels confident in using them effectively.


Professional Development

  • Stay on top of industry's best practices, seek out professional development opportunities, and keep our Mission Advancement efforts current.
  • Can recommend and implement best practices to elevate development efforts.
  • Perform additional duties as required.


Requirements

  • Hands-on experience in Blackbaud Raiser's Edge/NXT.
