Job description


Summit Psychological Associates is a growing behavioral health agency that provides mental health and substance abuse treatment services to individuals and groups. We have a position available for a forensic intake specialist who takes referrals from court officials, probation officers and other criminal justice personnel and facilitates setting up appointments for the clients. Upon receiving the referral by phone, email or fax, the intake specialist will reach out to the client to enter their demographic and insurance/Medicaid information into the electronic record. They explain the services to the clients and schedule the first appointment with our agency.

The intake specialist works under the direction of the Forensic Psychologist and the Federal Services Coordinator. The position requires the ability to work independently once trained and to communicate effectively with both the referral sources and the clinicians working at Summit Psychological Associates, Inc.

Duties for this position:

Answer all intake calls, emails and faxes coming from forensic referral sources and respond within 24 business hours.

Contact clients identified in the referral and schedule them for referred services within designated time frames.

Obtain demographic information from clients and enter into electronic medical record.

Obtain insurance/Medicaid information and put into electronic record. Contact insurance company or Medicaid through website or phone call to verify insurance coverage and staff being on panel.

Schedule clients for first session of individual or group treatment and provide them with information regarding what is needed for the first session, including if the client has a fee or copay.

Track all federal referrals and ensure that clients are contacted and scheduled within the appropriate time frame. Communicate with Federal Services Coordinator about referrals and any questions that arise.

Assist with other office duties if the front desk staff is not available including greeting clients who attend services in person and complete necessary documentation with client, answering the front desk phone and taking payments at the front desk window.

Provide support to clinical staff by copying, faxing, scanning, and emailing materials.

Enter notes in electronic record related to phone calls or client interactions.

Qualifications for this position:

Previous doctor's office or mental health/substance abuse agency with use of electronic medical record is preferred.

Excellent computer and typing skills including being proficient in Microsoft Office and scanning of documents.

Strong communication skills.

Consistent Attendance

High standards of customer service.

Experience working with electronic medical records preferred.

Excellent analytical skills, including problem identification and resolution.

Understand and comply with all HIPAA regulations.
