Job description

Fast growing fintech startup is looking for an Executive Assistant to support Senior Leadership. With their recent funding backed by well-known VCs, this is an incredible opportunity to be a part of a close-knit team at a cutting-edge company reshaping an entire industry. In this role, you'll manage busy calendars, coordinate and prep meetings, book travel, and keep the Executive focused on top priorities. Someone who thrives on operational excellence, is extremely meticulous, and finds fulfillment in creating order and momentum for others. This is a fully in-office role based in NYC Flatiron District office and must be flexible to work until 8pm daily. 150-180K+ DOE + equity, benefits, and flexible PTO.
Responsibilities:
  • Provide executive support to leadership, managing busy calendars, coordinating schedules, and prioritizing time effectively. Anticipate and resolve scheduling conflicts before they arise, coordinating across internal and external stakeholders with accuracy and care.
  • Prepare for meetings, confirming agendas, participants, and relevant materials in advance.
  • Organize and handle travel arrangements, including flights, accommodations, and detailed itineraries.
  • Manage and maintain network relationships, track key contacts, and ensure consistent outreach and follow-through.
  • Plan and execute internal and external events, supporting logistics from concept through completion.
  • Track ongoing projects and special initiatives, ensuring timely completion and clear communication across teams.
  • Collaborate with internal teams on process improvement.
Qualifications:
  • 4+ years of experience as an Executive Assistant in fast-paced environments, preferably from a high-growth startup.
  • Systems-builder who doesn't just manage tasks but designs and owns the processes behind them.
  • Strong organizational skills with exceptional attention to detail and consistent follow-through.
  • Excellent written and verbal communication skills, with clarity and professionalism across all levels.
  • Proactive and independent, with the ability to anticipate needs and act without being asked.
  • Ability to stay composed and efficient in dynamic, high-pressure situations.
  • Skilled at bringing structure to ambiguity and managing multiple complex workstreams simultaneously.
  • Proven discretion and sound judgment when handling confidential information.
  • Thrives in an in-office environment with regular face-to-face collaboration.
