The Elevator Pitch
Let's be honest: you've seen your fair share of boring Executive Assistant job descriptions. This is not one of them. We aren't looking for a passive diary-manager or an order-taker. We are looking for a strategic gatekeeper, and an operational force multiplier who wants a front-row seat to building a category-defining fintech company.
Approvely is a profitable, bootstrapped payment technology infrastructure platform processing more than $1 billion in annual payment volume. We are entering a hyper-growth phase fueled by institutional fundraising, product expansion, and rapid team scaling.
Our CEO is a hands-on, brilliant, fast-moving founder with a massive bias toward execution. She shifts gears between fundraising, customer strategy, and product vision at lightning speed. She needs an operational right-hand to create structure out of ambiguity, reduce her context-switching, and ruthlessly guard her time.

What You'll Own
Executive Operations & "Air Traffic Control"
  • Calendar & Focus Defense: Masterfully curate the CEO's schedule to maximize impact over volume, keeping her focused only on highest-value priorities.
  • Inbox Diplomacy: Over time, take the keys to the CEO's inbox. Prioritize incoming messages, ghostwrite high-stakes correspondence, independently respond to inquiries, and flag critical decisions.
  • Meeting Mastery: Ensure the CEO never walks into a meeting cold. You will build comprehensive briefing documents (company backgrounds, CRM history, talking points, and objectives). You will track action items across teams to ensure execution.
  • Leadership & Mentorship: Serve as the head of our internal administrative function, directly managing, mentoring, and balancing the workload for our Sales & Marketing EA.
Special Projects & Growth Support
  • Strategic Initiatives: Keep the gears turning on fundraising preparation, due diligence requests, investor pipelines, product launches, and enterprise customer implementations.
  • Internal Operations & SOPs: Identify operational bottlenecks, build out team documentation/SOPs, and continuously drive cross-departmental accountability.
  • Personal Executive Support: Handle high-value personal logistics (family scheduling, travel, reservations, and special projects) to ensure the CEO's personal life runs as smoothly as her business life.
  • Tech & AI Champion: We operate with an AI-first mindset. You'll leverage tools like ChatGPT, advanced CRM platforms, and AI meeting assistants daily to automate workflows and save time.
What Success Looks Like
  • In 90 Days: You have fully optimized the CEO's calendar, organized her inbox, streamlined executive travel, and successfully implemented a bulletproof follow-up tracker. The CEO is actively reclaiming meaningful strategic hours every single week.
  • In 6 Months: You are managing the majority of executive communications and driving key company cross-functional initiatives without daily oversight. You are a trusted representative of the Office of the CEO.
  • Long-Term: You have scaled alongside Approvely, mastered the business from the inside out, and are actively stepping into broader Executive Operations or a Chief of Staff role.
