Role Overview

We are seeking a smart, sharp, highly organized Operations Associate who wants to be hands‑on in our operational environment. This person will support senior leadership while and cross‑departmental efficiency structures that keep our teams aligned and our assets performing at their best.

This role is ideal for someone early in their career (1-2 years' experience) who thrives in a fast‑paced, modern, global and data‑driven environment and wants real operational exposure in property management, not just desk work.

Key Responsibilities

Asset & Property Operations Support

  • Assist in the coordination of inspections, compliance checks, resident communications, and maintenance documentation aligned with asset goals.
  • Work with teams to ensure leasing activity, maintenance, and resident services stay aligned with AAM's best‑practice, tech‑enabled operational model.
  • Support operations teams in maintaining accuracy of data, dashboards, resident information, compliance documents, and property performance records.

Operations Excellence & Process Development

  • Develop, maintain, and optimize SOPs, process maps, standard workflows, and operational checklists across functional areas (leasing, maintenance, compliance, resident experience, reporting).
  • Analyse gaps in processes and propose improvements that enhance efficiency, reduce turnaround time, and support real‑time operational decision‑making.
  • Monitor routine operational tasks to ensure consistency, adherence to standards, and timely execution.

Executive & Administrative Support

  • Provide structured support to senior leadership including task/job coordination, follow‑ups, scheduling, documentation, and execution tracking.
  • Prepare decks, summaries, reports, and process documentation aligned with organizational goals.
  • Organize interdepartmental communication and ensure deliverables are completed accurately and on time.

Quality & Compliance

  • Track compliance requirements across affordable housing programs, HUD/LIHTC guidelines, audit readiness, or other regulatory needs as assigned (training provided).
  • Help maintain 100% documentation accuracy across operational files.

Cross‑Functional Coordination

  • Collaborate with property operations, marketing, maintenance, and accounting teams.
  • Support onboarding workflows for new hires by creating structured templates, guides, and process documentation.

Required Qualifications

  • 1-2 years of experience in operations, administration, real estate, project support, or a related role.
  • Excellent written and verbal communication skills.
  • Strong organizational ability and attention to detail and quality.
  • Tech‑savvy, with ability to learn new systems quickly (property management software, dashboards, checklists, portals, AI prompting).
  • Process‑oriented mindset with ability to translate high‑level direction into actionable steps.
  • Comfortable working hands‑on in a dynamic, operational setting.
  • High discretion, professionalism, and reliability.

Preferred (Nice‑to‑Have) Skills

  • Exposure to real estate, property management, multifamily operations, HOA/association management, or administrative compliance support.
  • Experience building SOPs, workflows, or checklists.
  • Familiarity with analytics tools, dashboards, or project management systems.
