Job description

Data Entry Specialist - 8 Month ContractReporting to the Finance Support Manager, the Data Entry Specialist is responsible for accurately entering invoice information into our document management system. The successful candidate will work closely with the site teams and the Industrial East Finance team to ensure all invoices are submitted and paid on time along with other duties. Potential opportunity for transition to full-time employment upon successful completion of the contract.
This position is based out of Mississauga, ON.What You Will Be Working On
  • Review incoming supplier and subcontractor invoices for accuracy and coding

  • Index supplier and subcontractor invoices into OnBase and Viewpoint accounting systems

  • Match invoices to purchase orders and packing slips when applicable

  • Flag discrepancies and communicate with internal teams for resolution

  • Reconcile vendor statements and respond to inquiries

  • Maintain organized digital records of invoices

  • Assist with generating reports and reconciling accounts as needed

  • Liaise with project teams, vendors, and clients, maintaining positive relationships and troubleshooting issues

  • Provide other administrative support by operations staff and project teams

  • Other duties as required

  • Data administration or relevant experience of at least 2 years

  • Experience working in the construction industry considered an asset

  • Experience with OnBase and/or Viewpoint Accounting System considered an asset

  • Excellent communications skills, customer service mindset, and a team player attitude

  • Ability to manage a large volume of work and can consistently meet deadlines while ensuring high attention to detail and accuracy

  • Ability to forge, grow, and maintain positive relationships with multiple stakeholders

  • Ability to work within tight deadlines and prioritization of work to achieve them
