Job description

We are looking for a Client Service Associate to provide high-quality service and administrative support for investment clients in Portland, Oregon. This contract position focuses on ensuring client accounts are handled accurately, meetings are coordinated smoothly, and service interactions are documented with care. The ideal candidate brings a client-first mindset, strong organizational ability, and the professionalism needed to work within a regulated financial services environment.


Responsibilities:

• Manage client service requests by preparing and processing account-related documentation, including account openings, transfers, contributions, withdrawals, profile updates, and written instructions.

• Keep client information current by recording interactions, account activity, and service updates in CRM and related recordkeeping systems.

• Distribute required disclosures, privacy notices, and other regulatory communications to clients and prospective clients in a timely manner.

• Create confirmation letters when updates to client goals, financial circumstances, or risk preferences require formal documentation.

• Coordinate calendars for advisors by arranging client and prospect meetings, sending reminders, and confirming appointments in advance.

• Assemble materials for advisor meetings by gathering account and performance information, reviewing details for accuracy, and ensuring documents are ready for discussion.

• Maintain well-organized digital files by scanning documents, applying consistent indexing, and updating internal platforms on a regular schedule.

• Route selected transactions, correspondence, marketing items, and other sensitive submissions through compliance review when approval is required.

• Contribute to department initiatives and special assignments that support service improvements and broader business objectives.

• High school diploma required; bachelor’s degree preferred.

• At least two years of experience in investment services, insurance, financial services, or a closely related industry.

• Active Series 65 license preferred.

• Working knowledge of investment products, insurance-related services, and compliance expectations within a regulated environment.

• Strong written and verbal communication skills with the ability to explain information clearly and professionally.

• Demonstrated attention to detail, sound judgment, and the ability to manage multiple priorities with accuracy.

• Proficiency with Microsoft Office and confidence working across web-based platforms, email tools, and multiple browser environments.

• Ability to deliver responsive client support, handle client intake activities, and troubleshoot basic service or connectivity-related issues.
