Job Summary

Under the direction of the Director, TRiO Lake-Mendocino Programs and/or the Regional Project Director and Assistant Director, the Lake & Mendocino County TRiO Programs Administrative Coordinator provides a variety of administrative, fiscal, and compliance support for assigned TRiO programs to ensure efficient, student-centered regional operations. The incumbent processes and reconciles budgets, purchases, and travel; maintains participant data in the student database system; prepares reports for audits and Annual Performance Reports (APRs); and ensures operations comply with federal TRiO regulations and CSU/SSU Sponsored Programs policies. Working closely with the Associate Director of Business Operations and in collaboration with other support staff, the incumbent helps maintain fiscal integrity, supports program events, and provides lead work direction, training, and guidance to other support staff. In addition, this position provides back up to other staff in the department as needed. Work assignments require professional interaction at the highest levels within and outside the university.

Duties take place mostly in an office setting at Fort Bragg High School and off site at target high schools throughout Mendocino, Lake and Sonoma Counties. The role involves frequent interaction with students, families, school partners, and campus departments in a professional office setting, with travel within the corresponding counties for meetings, trainings, and program events. Evening or weekend work may be required during recruitment, reporting, or summer programming to meet operational needs.

Key Qualifications

This position requires a high school degree or technical/vocational program and a minimum of two years administrative work experience involving program administration and/or an equivalent combination of education and experience involving study, analysis, and/or evaluation leading to the development of improvement of administrative policies, procedures, practices, or programs. The incumbent must have a thorough knowledge of standard office systems and the ability to use a broad range of standard office technology to support duties of the position. Bachelor's degree highly preferred. Must possess the ability to organize and track multiple projects, meet deadlines, and communicate clearly and effectively in a fast-paced, student-focused environment; maintain accurate financial and student-data records in compliance with institutional and federal requirements; and possess strong interpersonal skills and the ability to work collaboratively within a diverse team environment. Must demonstrate sensitivity to the needs and characteristics of low-income and potential first-generation college students. Experience working with TRiO programs, federally funded grants, or educational-equity initiatives; knowledge of TRiO federal guidelines and university sponsored-programs policies; and experience reconciling budgets and preparing documentation for audits or performance reports preferred. Familiarity with the purpose and administrative operations of TRiO Programs is highly preferred. Proficiency with Microsoft Office, Google Workspace, and Blumen or similar student database systems. Knowledge of PeopleSoft preferred. Bilingual Spanish/English preferred. This position requires the successful completion of a live scan fingerprinting for Sonoma State University, including a live scan fingerprinting at the assigned school site location and TB test.

Salary and Benefits

This is a full time, temporary, non-exempt position. Step placement will be determined based on relevant qualifications and professional experience. Step placement upon appointment is not expected to exceed $4,367 a month (step 1). The CSU Classification Step Range for this position is $4,367 - $6,362 per month (step 1 - step 20). Reappointment to this position is dependent upon the individual's performance as well as administrative and budgetary considerations. The university reserves the right to terminate this appointment earlier than the scheduled expiration date.

This position is eligible for a broad range of benefits, including medical, dental, vision, life and disability insurances, retirement (CalPERS), tuition waiver, vacation and sick leave. In addition, 15 paid holidays are offered each year and a Personal Holiday that may be taken any time during the year. Sonoma State University is also a Public Service Loan Forgiveness Program (PSLF) Employer.
