Position Overview:

The Finance Associate supports the day-to-day operations of the Finance department, with primary responsibility for billing, accounts receivable and payable, financial reporting, payroll processing, and general finance operations. Working closely with the Finance Manager, CFO, Human Resources, and other departments, this role helps ensure accurate and timely financial processes while supporting the firm's broader financial goals.

The ideal candidate is analytical, detail-oriented, organized, and comfortable managing multiple priorities in a deadline-driven environment. This position offers the opportunity to contribute across a broad range of finance functions while working collaboratively with colleagues throughout the firm.

KEY RESPONSIBILITIES: Billing, Accounts Receivable & Accounts Payable
  • Assist with quarterly fee billing, collections, and account reconciliation.
  • Deposit receipts into company bank accounts and maintain accurate billing and accounting records.
  • Review quarterly fee billing to ensure all applicable accounts have been billed accurately.
  • Review invoices for accuracy and verify charges prior to payment.
  • Process accounts payable checks and electronic payments while maintaining supporting documentation.
  • Track and process company credit card activity and payments.
  • Prepare and maintain financial spreadsheets related to company expenses.
Finance & Reporting
  • Prepare and assist with monthly and quarterly financial reports, including fee billing and collections reports and budget-to-actual reporting.
  • Assist with the quarterly financial close process.
  • Prepare 1099/1096 and use tax filings and process W-9 requests.
  • Support the annual budgeting process, including implementation of budget requests.
  • Assist with updates to the firm's 10-year financial plan and year-end financial processes.
  • Support annual financial and tax audits.
  • Maintain fixed asset and depreciation schedules and related files.
Payroll Processing
  • Process payroll accurately and on a timely basis for all employees.
  • Process wage, salary, and benefit changes.
  • Work closely with Human Resources to support employee benefits administration and reporting.
  • Assist with payroll audits and year-end reporting.
Qualifications
  • Bachelorโ€™s degree in Accounting, Finance, Business Administration, or a related field preferred.
  • Prior professional experience in accounting, bookkeeping, or a related finance function preferred.
  • Strong analytical and problem-solving skills with a high level of attention to numerical detail.
  • Experience with and ability to quickly learn accounting, payroll, and other software applications.
  • Proficiency with Microsoft Office, particularly Excel.
  • QuickBooks and ADP experience preferred.
  • Strong written and verbal communication skills and excellent interpersonal and relationship-building skills.
