Program Finance Analyst
On Site Position
JOB ANNOUNCEMENT
Sacred Heart Community Service, located in San Jose, CA, is looking for a Full-Time, Exempt, Program Finance Analyst to join our Finance Team. This role is ideal for a detail-oriented, organized, and flexible individual who thrives in a fast-paced nonprofit environment. The right candidate will have strong verbal and written communication skills and have a passion for our mission-to change lives and impact poverty. For more than 60 years, SHCS has been a leading institution in addressing poverty in Santa Clara County through a strategy that combines focusing on the consequences of poverty through impactful programs while building power with community to push for systemic change.
POSITION SUMMARY:
The Program Finance Analyst provides financial analysis, budget support, grant financial management, invoicing, and reporting support for assigned program areas at Sacred Heart Community Service. The position works closely with program directors and Finance Team members to develop grant budgets, monitor budget-to-actual performance, support labor cost planning, prepare and submit funder invoices, and ensure accurate financial tracking across grants, programs, and sub-programs. The Program Finance Analyst also helps develop standardized monthly financial reports, supports funder monitoring and compliance activities, and contributes to improvements in financial processes, procedures, and documentation.
RESPONSIBILITIES AND DUTIES:
Program Finance Support (70-75%)
• Assist assigned program areas in developing budgets for new grant applications, contract renewals, and program planning.
• Coordinate the setup of project codes for new grants and contracts to support accurate time, expense, and revenue tracking.
• Provide Program Directors with regular budget-to-actual reporting at the grant, program, department, and sub-department levels.
• Monitor ongoing financial activity and review results with program leadership to identify budget concerns, spending trends, and needed adjustments.
• Assist Program Directors with planning, monitoring, and analyzing labor costs charged to grants and contracts.
• Support financial aspects of funder monitoring visits, audits, and compliance reviews.
• Build effective working relationships with funders, program staff, and Finance Team members to support timely issue resolution.
• Support the development of standardized monthly financial reporting packages for assigned program areas.
• Assist with financial process improvements, procedure documentation, and special projects as needed.
Grant and Contract Invoicing (10-15%)
• Prepare and submit periodic invoices for assigned grants and contracts, including required supporting documentation.
• Review invoice backup for accuracy, completeness, and alignment with funder requirements.
• Coordinate with program and accounting staff to resolve questions related to expenses, documentation, coding, or billing.
• Follow up with funders to support timely processing of payments.
Agency Participation and Other Duties (10-15%)
• Supports the planning of and participates in agency-wide programs, events, and outreach efforts.
• Supports the planning of and attends staff meetings, retreats, and other team and agency events.
• Provides support and executes other duties as assigned.
REQUIRED QUALIFICATIONS AND EXPERIENCE:
• Minimum of four years of relevant experience in finance, accounting, budgeting, grants management, nonprofit administration, or financial analysis; a bachelor's degree in a related field may substitute for up to two years of experience.
• Experience preparing budgets, financial reports, reconciliations, invoices, or other financial documentation.
• Excellent computer skills, including strong Excel proficiency and comfort working with large data sets and financial reports.
• Experience working with an ERP, accounting, or financial management system.
• Ability to manage multiple priorities in a fast-paced environment.
• Strong verbal and written communication skills.
• Excellent organizational skills and proven ability to meet deadlines.
• Ability to work collaboratively with finance, program, and administrative staff.
• Strong commitment to the mission and vision of Sacred Heart Community Service.
• Flexible, compassionate, and supportive attitude.
PREFERRED QUALIFICATIONS AND EXPERIENCE:
• Experience with nonprofit finance, government contracts, grants management, or cost-reimbursement invoicing.
• Proficiency in NetSuite.
• Experience supporting program budgets or grant-funded programs.
• Bilingual in English/Spanish or English/Vietnamese.
• CPA license, master's degree, or advanced coursework in accounting, finance, public administration, or nonprofit management is a plus but not required.
REPORTING RELATIONSHIP:
The position is exempt, full-time, and reports to the Director of Finance.
COMPENSATION:
The salary is commensurate with experience. The salary range is $84,000-$94,000 annually. Benefits include fully paid medical insurance for employees and majority paid medical insurance for qualified dependents, dental insurance, vision insurance, 12 paid holidays, 10 paid sick days per year, paid vacation starting at 10 days per year, additional wellness benefits, basic life and long-term disability insurance, professional development and more.
