About the Position
The Development Coordinator will work closely with members of the Development team to provide support in fundraising activities, donor and member engagement, and event coordination to support SIFF’s fundraising goals. Duties include coordination of donor stewardship and engagement, benefit fulfillment, annual giving campaigns, and event logistics in order to provide meaningful experiences for donors and members. This role works collaboratively across departments and handles sensitive donor and gift information requiring adherence to strict confidentiality.

Reports To: Director of Advancement
Compensation: $26.44 - $27.88 per hour (USD)





Primary Responsibilities
Administrative Responsibilities (25%)
  • Ensure a timely and accurate gift entry and acknowledgment process for all gifts and memberships, including documentation and follow up of verbal and written pledges.
  • Prepare and send prompt acknowledgement letters by preparing data, merging, customizing language, printing, distributing for signatures, documenting in database, and mailing. Maintain accurate and complete information in the CRM.
  • Work with Finance staff to ensure that all contributions - including all types of individual gifts, memberships, sponsorships, and grants - are received, entered, and accurately tracked by both Development and Finance.
  • Assist in drafting contracts, acquiring signatures, maintaining organization, recording/updating information in the database and invoicing.
  • Provide support with proposals, grant requests, and reporting as needed.
Donor & Member Communications (25%)
  • Coordinate, build and send member and donor emails
  • Support the membership renewals and benefit fulfillment process
  • Support physical mailing projects, including membership and annual giving campaigns
  • Work collaboratively with the Marketing and Communications department on the administration of promotional materials, mailings, and community outreach projects.
  • Maintain and/or create content on all donor-related web pages of the SIFF website.
  • Communicate with members and donors by phone, email, in-person, including management of SIFF Membership and SIFF Giving email inboxes, answering incoming questions and providing assistance or asking for help with solutions when needed
  • Provide excellent customer service and support to SIFF donors, sponsors, members, and patrons.
Stewardship, Events, and Pipeline Development (50%)
  • Assist with the implementation of a portfolio management system and appropriate stewardship, cultivation, and engagement support
  • Assist with researching, building, and maintaining donor and prospect lists and profiles.
  • Prepare solicitation lists for annual giving and membership campaigns, and coordinate data needs for email and direct mail efforts.
  • Coordinate logistics of events and experiences designed to cultivate and steward giving, including annual Marquee Gala, Talking Pictures, Salons, receptions and other events, including the management of invitation and guest lists, materials, and event details
  • Conduct fulfillment of sponsor ticketing, sponsor branding (i.e. ad and logo placements) in SIFF publications and marketing materials

Qualifications
  • High School diploma or equivalent required; Bachelor’s degree, preferred.
  • 2 or more years prior experience in non-profit fundraising or events, with knowledge of development best practices, is preferred.
  • Strong attention to detail, data entry and time management skills.
  • Excellent verbal and written communications skills. Enjoys and excels at providing high-level customer service and working effectively with diverse constituencies including SIFF staff, donors, members, and patrons.
  • Enjoys working with data and has a mindset geared toward efficiency and accuracy.
  • Self-motivated, ability to work independently, problem solve, and actively seek assistance when needed. Also able to collaborate in a team setting.
  • Highly organized with the ability to manage multiple projects simultaneously.
  • Ability to interpret a variety of oral and written instructions.
  • Experience with CRM, ticketing, and/or donor database software required. Proficiency in productivity and office suites, knowledge of project management software, and familiarity with online research preferred.
