About the role
We're hiring a full-time front desk receptionist for our Papillion office. Internally we call this our Patient
Experience Coordinator role — because that's what it really is. You're the first face every patient sees when they walk in and the last voice they hear when they leave. You set the tone for the entire visit.
We're not a typical eye doctor's office. We built Vision Specialists around one idea: eye care should be
simple, modern, and something patients actually look forward to. That only works when the person at the
front desk is warm, organized, and genuinely great with people. That's the role we're hiring for.
What you'll do
You'll own the front-of-house experience end-to-end — welcoming patients, running the schedule,
verifying insurance, and keeping the day flowing.
• Greet every patient by name and set a warm, professional tone from the moment they walk in
• Check patients in and out, collect copays, and schedule follow-up visits
• Verify insurance eligibility and benefits before appointments
• Complete daily insurance verification for the following day's schedule (vision and medical benefits,
authorizations, coordination of benefits)
• Answer inbound calls, respond to voicemails, and reply to patient messages
• Manage the daily schedule — confirm appointments, fill cancellations, and coordinate with the clinical
team
• Enter patient demographics, insurance, and referral information in RevolutionEHR
• Handle payment processing and end-of-day reconciliation
• Keep the reception area, waiting room, and check-in space clean and organized
• Support the team with light administrative tasks — mail, supplies, patient recalls
What we're looking for
We're open on background — the right person can come from optometry, ophthalmology, dental, primary
care, urgent care, or even a strong customer-facing business role. Two things matter most:
• Exceptional people skills — you're warm, patient, and genuinely curious about the people in front of you
• Strong organization — you can juggle a full lobby, a ringing phone, and a full schedule without dropping
the ball
Preferred experience
• 3+ years in optometry, ophthalmology, or another medical front desk role
• Strong working knowledge of insurance verification, HIPAA basics, and copay collection
Also welcome
• Dental office, veterinary, chiropractic, or physical therapy front desk experience
• Hospitality, retail management, or client-facing business roles with a track record of high customer
satisfaction
• Bilingual English/Spanish is a plus
Required across the board
• High school diploma or equivalent
• Comfortable learning new software quickly (RevolutionEHR, insurance portals, payment systems)
• Reliable, punctual, and steady under a full schedule
