Job Summary

The File Clerk is responsible for providing administrative and clerical support for a high-volume document management and records retention initiative. This role focuses on organizing, inventorying, scanning, tracking, storing, and retrieving physical and electronic records while ensuring compliance with record retention requirements. The ideal candidate is highly organized, detail-oriented, and capable of managing large volumes of documents accurately while supporting multiple stakeholders and meeting project deadlines.

Job Responsibilities

  • Perform inventory and cataloging of physical records, files, and storage boxes.
  • Review, organize, prepare, and process documents for scanning and storage.
  • Operate scanning equipment to digitize records and maintain electronic document repositories.
  • Upload and maintain scanned files within designated document management systems.
  • Prepare documentation and forms required for file storage, retrieval, and vendor coordination.
  • Assist with boxing, labeling, tracking, and organizing files for offsite storage.
  • Maintain accurate logs of document inventory, scanned records, and storage locations.
  • Ensure records are properly classified, labeled, and maintained according to record retention policies.
  • Support audit readiness by maintaining accurate and accessible records.
  • Coordinate with internal and external stakeholders regarding document management activities and project requirements.
  • Review and interpret basic information from maps, drawings, and operational documents.
  • Provide general administrative and clerical support.
  • Maintain and update tracking spreadsheets, databases, and document logs.
  • Assist with physical and electronic filing, document retrieval, and records management activities.
  • Respond to internal requests for document access and file retrieval.
  • Perform data entry and generate basic reports as required.
  • Track document status and communicate updates to stakeholders.
  • Utilize Microsoft Office applications, SharePoint, and other internal systems to support document management processes.
  • Follow established procedures and maintain confidentiality of sensitive records.

Job Requirements

  • High school diploma or GED required.
  • Minimum of 2 years of administrative, clerical, records management, or file management experience.
  • Experience with document scanning, filing systems, and records management processes.
  • Proficiency in Microsoft Office applications, including Excel, Word, Outlook, and SharePoint.
  • Strong data entry and document tracking skills.
  • Excellent attention to detail and organizational abilities.
  • Ability to manage large volumes of documents accurately and efficiently.
  • Ability to work independently with minimal supervision.
  • Strong customer service and communication skills.
  • Ability to follow structured processes and procedures.
  • Proficient written and verbal communication skills in English.
  • Basic mathematical skills for tracking and reporting purposes.
  • Ability to learn new systems, processes, and procedures quickly.
  • Excellent manual dexterity and typing skills.
  • Ability to prioritize multiple assignments while maintaining quality and accuracy.

Education

  • High school diploma or GED required.

Work Experience

  • Minimum of 2 years of administrative, clerical, document management, records management, or file management experience required.
  • Experience working with high-volume document processing preferred.
  • Experience using SharePoint and Microsoft Office applications required.
  • Experience supporting records retention, compliance, or audit-related activities preferred.
