Shipping and Receiving Clerk II

Summary -
The Shipping and Receiving Clerk II is responsible for coordinating outbound shipments, receiving incoming materials, and maintaining accurate inventory and shipping records in compliance with company procedures and federal regulations. This role includes advanced responsibilities such as troubleshooting shipment discrepancies, supporting inventory accuracy, and ensuring compliance with federal contracting and export control requirements.
Essential Duties and Responsibilities
  • Verify all required documentation is complete and accurate prior to processing shipments, including sales orders, packing slips, and shipping instructions.
  • Inspect packages to ensure proper packaging, labeling, and sealing in accordance with company quality standards and regulatory requirements.
  • Receive, scan, and process sales orders in the ERP system (e.g., AX) to confirm shipping details such as address, carrier, and service level.
  • Match physical shipments to system records, verifying order numbers, quantities, and destination information.
  • Weigh packages, generate shipping labels, and confirm accuracy of shipment details prior to dispatch.
  • Provide all documentation for the shipment of international orders, large orders and calculate freight quotation estimates.
  • Process and close orders in the system, ensuring accurate and timely data entry.
  • Prepare and distribute daily, weekly, and monthly shipping reports; support month-end close activities.
  • Resolve discrepancies related to shipments, including incorrect addresses, damaged goods, or missing documentation.
  • Monitor and close open or pending orders to maintain accurate shipment records.
  • Coordinate shipments via various carriers (e.g., UPS, FedEx, USPS, freight providers), including freight scheduling and tracking.
  • Receive incoming shipments, inspect for damage or discrepancies, and document receipt in the system.
  • Assist with inventory control activities, including cycle counts, stock reconciliation, and location accuracy.
  • Train and support Shipping and Receiving Clerk I employees on processes, systems, and compliance requirements. Serve as backup to Shipping Team Leader.
  • Coordinate with internal departments (Sales, Production, Compliance) to ensure timely and accurate order fulfillment.
  • Ensure compliance with ITAR and other applicable export control regulations when processing shipments.
  • Maintain shipping and receiving logs, records, and audit-ready documentation.
  • Adhere to all company safety policies, quality standards, and security protocols.
  • Maintain a clean, organized, and compliant work environment.
  • Perform other related duties as assigned.
Required Qualifications
  • High school diploma or equivalent required.
  • 2+ years of experience in shipping, receiving, warehouse, or logistics operations.
  • Experience with ERP or warehouse management systems (AX preferred).
  • Strong attention to detail and problem-solving skills.
  • Ability to train others and work independently with minimal supervision.
  • Ability to lift and move packages in accordance with job requirements (typically up to 50 lbs).
Compliance and Legal Requirements
  • Must be a U.S. Person as defined by the International Traffic in Arms Regulations (ITAR) (U.S. citizen or lawful permanent resident).
  • Ability to comply with all applicable federal contracting regulations and company policies related to controlled products and export compliance.
Language Requirements
  • Fluent in English with the ability to read, write, and communicate effectively in a professional environment.
