Description

POSITION DESCRIPTION:

Responsible for researching requested products and/or services and obtaining the best price. Work with prime vendors to ensure good pricing and product delivery. Performs data entry of all assigned purchase orders. Verifies the receipt of all goods and services. Also responsible for mailroom duties.

DETAILED DUTIES AND RESPONSIBILITIES:

  • Place all assigned orders for stock, non-stock, office supplies, and routine service/repair
  • Obtain all necessary quotes on goods and/or services requested
  • Work with prime vendors on all contract pricing and delivery requirements
  • Enter orders accurately and in a timely fashion into NetSuite
  • Receive stock, non-stock, and service/repair orders in an accurate and timely fashion
  • Work closely with accounts payable to ensure all orders are billed and ready for month end
  • Maintain in an accurate fashion all documentation necessary to comply with optimum safety requirements
  • Receive stock and non-stock items and distribute them to the appropriate departmentΒ 
  • Data entry of purchase orders, receiving and invoicesΒ 
  • Prepare and/or pull reports as needed for obtaining best cost for goods and services
  • Work as needed on special projects such as new facility opening or facility renovation
  • Maintain department files accurate and up to date within NetSuite, Compliatric and email folders
  • Pick up mail from post office before work and drop off as necessary
  • Open, date stamp, and distribute mail to appropriate person or department in a timely manner, while maintaining confidentiality
  • Make sure each piece of outgoing mail is stamped with the appropriate postageΒ 
  • Keep mail room supplies fully stocked (ie: sealer, postage labels, ink, envelopes, Fed Ex and Post Office Boxes, etc.) and make sure postage machine does not run out of postage
  • Process interoffice mail
  • Ensure mailbags are ready for maintenance staff the day before mail runΒ 
  • Additional duties as required by leadership
