Description
Join Our Team as a PIMS Implementation Specialist – Tampa, FL (Hybrid)

The PIMS Implementation Specialist supports the daily management, optimization, and implementation of Practice Information Management Systems across our veterinary hospitals. Reporting to the Director of PIMS, this role connects hospital teams, technology partners, vendors, and the broader PIMS strategy.
The ideal candidate has veterinary field experience, understands hospital operations, and can independently manage support needs and implementation projects. This hands-on role requires strong problem solving, communication, training, and project coordination skills.

Key Responsibilities
  • Manage daily PIMS requests and troubleshoot system, configuration, workflow, integration, and user issues.
  • Serve as a resource for hospital teams and coordinate issue resolution with vendors and AVG.
  • Partner with AVG Operations and streamline configurations, workflows, standards, and processes across hospitals.
  • Support system updates, testing, configuration changes, and new functionality.
  • Identify recurring issues, recommend improvements, and escalate significant concerns to the Director of PIMS.
  • Maintain implementation plans, timelines, task lists, readiness requirements, risks, and status updates.
  • Assist with hospital setup, system configuration, user access, provider setup, and integration requirements.
  • Coordinate data mapping, cleansing, migration, testing, and validation against source systems and approved reports.
  • Document discrepancies, corrective actions, testing results, approvals, and unresolved risks.
  • Coordinate training, confirm hospital readiness, provide support during go live, and track issues through resolution.
  • Support third party laboratory, pharmacy, diagnostic, communication, marketing, loyalty, and reporting integrations.
  • Coordinate integration setup, testing, validation, documentation, and issue resolution with vendors and internal teams.
  • Validate converted data for completeness, accuracy, accessibility, and consistency with approved source records.
  • Assist with clinical, operational, and financial reporting and investigate variances following system changes.
  • Maintain clear validation records that support consistent execution and audit readiness.
  • Partner with the Director of PIMS to evaluate hospital workflows and identify opportunities to improve efficiency through technology.
  • Ensure configurations support scheduling, medical records, estimates, invoicing, treatment plans, pharmacy, inventory, diagnostics, provider setup, client communications, and reporting.
  • Help standardize workflows, item setup, inventory processes, pricing structures, and chargemaster practices where applicable.
  • Develop and maintain standard operating procedures, job aids, workflows, training resources, and implementation records.
  • Train hospital leaders and team members and translate technical concepts into clear, practical instructions.
  • Collaborate with hospital leadership, veterinary teams, Information Technology, vendors, and corporate departments.
  • Communicate progress, decisions, risks, and outstanding items while keeping assigned work on schedule.
  • Serve as a liaison between hospital users and technical teams and take ownership through resolution.


Skills, Knowledge & Expertise
  • ·Ability to travel up to 80 percent of the time for hospital implementations, training, workflow assessments, go live support, and stabilization activities.
  • Travel may include overnight stays and may vary based on project schedules and hospital needs.
  • Previous veterinary field experience and a strong understanding of veterinary hospital workflows.
  • Experience using and supporting a veterinary Practice Information Management System.
  • Experience implementing, administering, configuring, or optimizing technology in a veterinary environment.
  • Strong troubleshooting, problem solving, organization, communication, and project coordination skills.
  • Ability to manage multiple priorities, learn technology quickly, work independently, and take ownership.
  • Ability to collaborate effectively with hospital teams, leadership, vendors, and technical partners.
  • Ability to meet the travel requirements of the position.
  • Experience implementing or converting veterinary hospitals to a new PIMS in a multi site organization.
  • Experience with Vetspire, Cornerstone, Avimark, Impromed, ezyVet, Pulse, or similar veterinary software.
  • Experience with data migration, mapping, cleansing, integration setup, testing, validation, or conversion auditing.
  • Experience creating standard operating procedures, training materials, reporting processes, and standardized workflows.
  • Experience with veterinary inventory, item setup, chargemaster maintenance, or pricing structures.
  • Previous experience as a veterinary technician, practice manager, veterinary trainer, PIMS administrator, or similar role is a plus.
