Red Butte Garden & Arboretum (RBGA) is one of the largest botanical gardens in the Intermountain West and, together with the University of Utah, serves as the State Arboretum of Utah. Located on 100 acres in the foothills above the University of Utah campus, Red Butte Garden includes over 21 acres of developed gardens and five miles of natural area trails.
The Garden is nationally recognized for its diverse plant collections, seasonal floral displays, outdoor concert series, private event spaces, and awardwinning horticultural education programs.
This position coordinates retail operations, exhibits, and retail-related programs while supporting the daily workflows that keep the operation functioning smoothly. The role combines staff supervision, retail coordination, exhibit and event support, inventory management, and administrative processes within a dynamic multi-function environment.

Responsibilities
Staff Supervision & Team Coordination
  • Supervise part-time retail staff and coordinate daily staff activities
  • Create and manage staff schedules to ensure operational coverage
  • Coordinate schedule adjustments, staff callouts, and timecard approvals as needed
  • Coordinate daily staff assignments and workflow priorities to support retail operations

Training & Process Support
  • Develop and maintain training materials and operational process documentation
  • Train and onboard staff on retail operations, procedures, and daily workflows

Inventory, Merchandise & Financial Processing
  • Coordinate merchandise intake from shipment receipt through point-of-sale entry, pricing, and sales floor placement
  • Ensure merchandise is accurately entered, priced, and prepared for display
  • Track shipment discrepancies and coordinate follow-up and resolution
  • Coordinate invoice processing, payment tracking, and reconciliation with University management reports
  • Prepare sales reports and maintain accurate operational records related to retail activities, exhibits, and events
  • Conduct annual inventory counts and intermittent inventory checks throughout the year
  • Monitor and order operational supplies, including bags, receipt paper, and pricing materials

Retail Exhibits & Events
  • Coordinate annual art gallery exhibits from planning through completion, including artist communication, inventory intake, exhibit setup and takedown, sales tracking, reporting, and artist payments 
  • Coordinate the annual Holiday Open House, including artist communication, event setup and takedown, inventory tracking, sales reporting, and artist payments 
  • Coordinate additional retail-related events and programs, including plant sales and concerts

Physical Requirements and Level of Frequency that may be required:
Nearly Continusouly: Sitting, hearing, listening, talking, walking
Often: Repetitive hand motions (such as typing), bending, reaching overhead, twisting, lifting up to 50 pounds, kneeling, squatting
Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).

Supervisor, Retail Operations Management: Requires a bachelor's (or equivalency) + 2 years of directly related work experience or a master's (or equivalency) degree.

  • Experience in retail, gallery, museum, or event operations
  • Experience with point-of-sale and inventory systems
  • Strong organizational and communication skills
  • Ability to coordinate multiple priorities and workflows in a fast-paced environment
