Responsibilities

General Description:ย 

OBXtek is seeking an Administrative Assistant responsible for day-to-day administrative activities of our customer's organization.ย  The Administrative Assistant also provides comprehensive executive support to the Office Director.ย  The position is a key member in an agile team that requires a self-starter with the adaptability skills to shift approach to respond to changing ideas, responsibilities, and expectations.ย  An ideal candidate will have the ability to anticipate needs, think critically and independently and be highly organized.ย  The incumbent exercises independent judgment and requires intermittent and infrequent supervision to navigate the established program policies and procedures.ย 

Major Duties:ย 

  • Serves as an Executive Assistant to the Office Director by scheduling and coordinating meetings, making travel arrangements, preparing readaheads/documents, and capturing meeting minutes;ย 
  • Provides professional administrative supportto other staff on various projects by navigating complex bureaucracy regulations;ย ย 
  • Serves as the primary timekeeper and maintains timesheet reports to comply with auditing and regulation procedures;ย 
  • Provides operational support services for the organization this includes managing staff onboarding/offboarding, ensuring various office locations are organized and operational, tracking project status, and maintaining accurate records;ย 
  • Assists in administrative plans and procedures needed to implement administrative regulations andeditsstandard operatingprocedures;ย 
  • Generates and complies data calls for weekly activities reports, other routinereports, correspondence, memos, and briefing materials;ย 
  • Acts as a branding gatekeeper and correspondence quality control manager by reviewing and tracking correspondences, afteractions, meetings, briefings, and coordinates materials for management review.ย 
Qualifications

Professional Qualifications/Skills:ย 

  • Must possess ahighschool diploma,associate degreepreferred;ย 
  • Five (5)years ofadministrative experience working in a fast-paced collaborative team environment which required strong communication skills to frequently interact with people at all levels of the organization;ย 
  • Intermediate knowledge of administrative or program management procedures regarding planning, implementing, and problem-solving capabilities;ย ย 
  • A high attention to detail, self-starter, results driven, and ability to follow through on details is essential;ย 
  • Demonstrated skill of shifting approach in response to the demands of a changing situation;ย 
  • Proficient in MS Office and excellent written and verbal communication skills;ย ย 
  • Ability to handle multiple tasks simultaneously;ย 
  • Experience in Department of State E2 Travel System, Electronic Country Clearances, Passport Special Issuance Agency, and WebTATEL system is preferred.ย ย 
  • Must be a U.S.citizen and possess or be able to obtain/maintain a SECRET clearance.ย
