Project Manager- Facilities Maintenance

Position Summary
The Project Manager is responsible for managing facilities maintenance work orders and projects from intake through completion. This role oversees scope development, subcontractor coordination, cost control, and client communication to ensure work is completed efficiently, on budget, and to quality standards.
This role supports project-based and ongoing service work across construction, facilities maintenance, and painting/coatings operations.
This position operates in a fast-paced, service-driven environment and requires strong organizational skills, responsiveness, and the ability to manage multiple projects simultaneously - often remotely.

Key Responsibilities
Project amp; Work Order Management
  • Review incoming work orders and develop scopes of work
  • Prepare and submit proposals through client ticketing systems
  • Manage projects from initiation through execution and closeout
  • Ensure all work is completed on time, within budget, and to client expectations

Subcontractor Management
  • Source, qualify, and manage subcontractors and trades
  • Solicit, review, and negotiate subcontractor bids and pricing
  • Coordinate subcontractor scheduling, performance, and deliverables
  • Provide oversight and support to subcontractors throughout project execution

Financial Management amp; Cost Control
  • Manage job costs, budgets, and subcontractor invoices
  • Ensure accurate pricing, margin performance, and cost tracking
  • Approve and process invoices in alignment with project progress
  • Identify cost risks and implement corrective actions as needed

Client amp; Stakeholder Communication
  • Serve as the primary point of contact for assigned clients
  • Maintain strong relationships through consistent communication and responsiveness
  • Ensure client requirements are understood and executed effectively
  • Provide project updates, documentation, and issue resolution

Systems amp; Documentation
  • Manage work within facilities management and ticketing systems
  • Maintain accurate project records, including notes, photos, and documentation
  • Ensure proper project closeout and billing documentation
  • Support continuous improvement in systems and workflow processes

Required Qualifications
  • High school diploma or GED required
  • 3+ years of experience in facilities management, construction project coordination, or similar role
  • Strong understanding of subcontractor management and service-based project delivery
  • Experience managing multiple projects or work orders simultaneously
  • Strong computer skills and ability to work within multiple systems

Preferred Qualifications
  • Experience working within facilities management or service ticketing platforms
  • Background in commercial construction, maintenance, or painting/coatings
  • Experience managing remote or multi-site subcontractor networks
  • Familiarity with pricing models for service work and trade labor
