POSITION OVERVIEW
The Senior Payroll Specialist is a Subject Matter Expert (SME) in payroll operations, responsible for processing complex multi-state payrolls, ensuring compliance with federal and state regulations, mentoring junior payroll analysts, and serving as the escalation point for complex payroll issues. This role focuses on accuracy, compliance, and operational excellence in supporting 12,000+ employees across multiple states. The position assists in the efficient operation of processing payroll, including timely entering of payroll and payroll-related data in Workday, processing timely and accurate payrolls, compiling payroll statistics, completing payroll reporting requests, and maintaining payroll control records in accordance with Federal, State, and local laws.
KEY RESPONSIBILITIES
  • Processes bi-weekly multi-state payroll for 1,000+ employees, ensuring 100% accuracy and on-time delivery across all pay cycles.
  • Resolves complex payroll discrepancies and acts as second-level support for issues that routine payroll analysts cannot resolve.
  • Handles specialized payroll tasks, including garnishments, child support orders, escheatment, tax registrations and notices, year-end balancing, and wage attachments.
  • Conducts payroll audits and reconciliations to ensure accuracy and compliance
  • Assists with providing training, guidance, and mentorship to new hires and junior Payroll Analysts to strengthen team capabilities.
  • Leads special payroll-related projects, such as process improvements, system changes, company mergers, acquisitions, or restructuring efforts.
  • Assists with complex multi-jurisdictional, international, or expat payrolls and ensures compliance across various country-specific regulations.
  • Supports the end-to-end payroll processing for large or complex employee groups.
  • Ensures timely and legislative-compliant payroll payments and processes.
  • Acts as the primary point of contact for complex, non-routine payroll queries, researching discrepancies and resolving them.
  • Processes payroll data in Workday HCM Payroll module, ensuring accurate data entry and system integrity.
  • Prepares, processes, and tracks wage garnishments and child support orders in compliance with legal requirements.
  • Reviews and processes all payroll-related tickets in a timely manner while ensuring appropriate backup documentation, accuracy, and obtaining necessary approvals as required.
  • Maintains payroll operations by following policies and procedures; reporting needed changes to leadership.
  • Maintains employee confidence and protects payroll operations by keeping information confidential.
  • Reviews and processes any authorized employment verification requests within 48 business hours of receipt.
  • Reviews benefit premium deductions on file feeds prior to submission of payroll.
  • Verifies that payroll benefits deduction amounts for each pay period are accurately withheld from the employee's paycheck.
  • Liaisons with auditors and manages payroll tax audits.
  • Resolves issues and answers payroll-related questions and escalations.
  • Ensures payroll best practices and procedures are adhered to and documented.
  • Follows internal policies and acts in accordance with relevant laws.
  • Prepares reports and maintains accurate records.
  • Coordinates with payroll vendors on tax jurisdiction updates, banking changes, and payroll processing requirements.
  • Collaborates with Human Resources and Finance teams to ensure accurate payroll processing and compliance.
  • Participates in payroll system updates and enhancements, coordinating with IT support and payroll vendors.
  • Other duties as requested by management.

QUALIFICATIONS
Required
  • 5+ years of hands-on multi-state, end to end payroll processing experience in high-volume environments (1,000+ employees).
  • 2+ years of proven mentorship, training, or leadership experience with payroll teams or junior payroll analysts.
  • Demonstrated expertise in payroll compliance, multi-state tax regulations, garnishments, wage attachments, and year-end processing.
  • Experience with payroll systems (Workday, ADP, Paychex, or similar HRIS platforms).
  • Associates or Bachelor's degree in Business Administration, Accounting, Human Resources, or related field.
  • Strong understanding of payroll and compliance requirements.
  • Strong understanding of multi-location/state/country payroll and taxes.
  • Strong understanding of current payroll procedures and related laws.
  • Organizational and leadership skills.
  • Attention to detail and strong communication skills.
  • Ability to exercise considerable discretion and judgment in handling the highest level of confidential information.
  • Understanding of wage attachments such as garnishments, child support, levies, and other deductions.
  • Proactive, flexible, assertive, with a creative approach to problem solving.

Preferred
  • FPC (Fundamental Payroll Certification) or CPP (Certified Payroll Professional) certification.
  • Background from payroll service providers (ADP, Paychex, Conduent, etc.) or large employer payroll departments.
  • Experience with the Workday Payroll module (or similar HRIS systems like ADP, Paychex).
  • Advanced Microsoft Excel skills (VLOOKUP, Pivot Tables, data analysis) or Google Sheets.
  • Experience in contact center, BPO, or high-volume operational environments.
  • Familiarity with payroll audit and compliance processes.

Compensation: Hourly Pay - $20.00-$25.00/hour
