POSITION OVERVIEW

The Executive Assistant provides essential administrative support to EIP’s leadership team and Board of Directors, the Center for Applied Environmental Science, and the organization’s day-to-day operations. The role blends administrative work, internal and external coordination, event planning, and occasional research or special assignments.

The Executive Assistant is a key member of the Ways & Means Team and reports to the Director of Operations & Development. They will work in the DC Office at least two days per week.

ABOUT THE ENVIRONMENTAL INTEGRITY PROJECT

The Environmental Integrity Project (EIP) is America’s environmental watchdog. We are a nonprofit organization dedicated to protecting public health and our natural world by holding polluters and government agencies accountable under the law. We advocate for tough but fair environmental standards and partner with communities fighting for clean air and water.

Our team of lawyers, analysts, communications staff, and engineers provide support to communities fighting David vs. Goliath battles against some of the biggest polluters in the U.S. We sue not only corporations that don’t follow the law, but also federal and state agencies when they fail to do their jobs protecting the environment.

EIP has a headquarters office in Washington, DC and staff working in 17 states. EIP offers flexible work schedules and the option for on-site, hybrid, and remote work.

KEY RESPONSIBILITIES

Provide timely, reliable, and detail-oriented support to the Executive Director and EIP Leadership

  • Provide administrative support to Executive Director, Board, and Leadership Team staff
  • Maintain Executive Director’s calendar, including scheduling, prioritization, and logistics
  • Support Executive Director external communications.
  • Plan and manage travel arrangements and expense documentation for the Executive Director and, upon request, for other members of the leadership team.
  • Conduct research and prepare documents as requested by Executive Director or other Leadership Team members.
  • Support new staff recruitment and hiring committee coordination.
  • Support planning, preparation, and delivery of regular and ad hoc board and leadership team meetings.

Organize EIP Events

  • Working closely with EIP leadership, lead the logistical planning and execution of EIP events, such as staff retreats, department meetings, and EIP-sponsored workshops,including by organizing schedules, preparing materials, and arranging space, technology,and catering needs.
  • Serve as point of contact for board members, speakers, consultants, and other guests.
  • Maintain EIP’s hotel preferred rate agreements and manage accommodations for staff,board members, and other guests.

Office Administration

  • Support general office administration to maintain a welcoming and functional workplace environment, including by helping to troubleshoot office-related issues, coordinate guest access, and purchase and receive supplies.
  • Monitor and manage incoming office communications, including mail, general email, and general phone calls, ensuring timely responses, appropriate routing, and filing.
  • Prepare, copy, collate, and distribute documents and materials and maintain organized digital filing systems for organizational documents.
  • Coordinate with building management, vendors, and maintenance personnel regarding office needs and facility-related issues.

Provide Administrative Support to the Center for Applied Environmental Science

  • Work closely with the Director of Science & Engineering to coordinate projects and communication with external partners.
  • Review incoming requests for support, conduct research, and prepare recommendations for Director approval.
  • Organize advisory board meetings and coordinate advisory board communications.
  • Coordinate with vendors to ensure W9 or other required information is on file.

QUALIFICATIONS AND REQUIREMENTS

  • 3+ years of experience providing executive administrative support at a non-profit or mission-driven organization.
  • Bachelor's degree required; a background in nonprofit management, business, environmental studies, or a related field is a plus.
  • Proactive, motivated, and well-organized, with strong self-management skills and the ability to meet tight deadlines and juggle competing priorities.
  • Sound judgment, maturity, and the ability to handle sensitive and confidential information with discretion.
  • Excellent writing, verbal, editing, and research skills, with superior attention to detail
  • Strong interpersonal skills and a collaborative, flexible approach, with the ability to work independently or as a team and to solve problems effectively.
  • Proficiency in Microsoft Office, Adobe suite, and similar productivity tools.
  • Passion for environmental advocacy and a commitment to EIP's mission.

COMPENSATION

EIP offers competitive salaries, excellent benefits, and a supportive working environment. Salary is based on a nonprofit scale and is commensurate with skills and experience. For this position, the salary range is $60,000 - $75,000.
