Job description

Executive Assistant

As the Executive Assistant to the Chief Underwriting Officer, Americas, you will play a critical role supporting the Chief Underwriting Officer. You will employ your keen organizational and multitasking skills to drive and execute on multiple strategic initiatives, and your influential interpersonal skills will enable you to build effective relationships and successfully interact with stakeholders at all levels within the organization. You will add value by tapping your drive for excellence to not only fulfill your administrative responsibilities but also contribute to special projects.

Your essential responsibilities will include:

  • Providing strategic support to the Chief Underwriting Officer, Americas including but not limited to preparing, proofing and revising organization charts, contact and distribution lists
  • Drafting announcements and communications
  • Developing and reviewing materials for meeting and presentations, including quarterly reviews
  • Coordinating travel itineraries from flights, hotels, transportation to reservations, etc.
  • Calendar management and maintenance
  • Preparing expense reports and processing invoices
  • Taking minutes during meetings
  • In partnership with the CUO, help define the CUO roadmap and KPIs. Track, measure and report on progress and benefits
  • Create visually compelling and intellectually stimulating content for use in executive level meetings and with mass audience that communicates strategic information
  • Support the CUO in ensuring the execution on key projects
  • Act as liaison with both internal and external stakeholders including AXA Group and other AXA entities as needed
  • Proactively manage tactical day to day business operations for CUO working closely with the leadership team
  • Develop executive agendas and meeting materials for all hands meetings, Town Halls, etc.
  • Regional Event support and general office support

You will report to a Large Commercial Chief Underwriting Officer.

  • Must be proficient in Microsoft office suite, including PowerPoint, Excel, and Word and Outlook

  • Excellent organizational/multi-tasking skills
  • Must be detail oriented and an excellent time manager
  • Adept customer service skills
  • College Degree preferred but not required
