Basic Function
The Office of Attorney General (OAG) seeks an Administrative Officer. The Administrative Officer will support the Office of Public Engagement (OPE) in the implementation and monitoring of core programming, event requests, and various initiatives. They will also serve as the grant coordinator for the Community Drug Abuse Prevention grant, reviewing all applications, communicating with applicants, submitting to the committee for approval, assuring the legal document is executed, and reviewing reimbursement documents for compliance. This position will assist with a broad range of operational duties in support of OAG public engagement efforts including education workshops, outreach, presentations, event coordination, and partnerships with communities statewide.
Examples Of Duties
- Manages and monitors several email inboxes throughout the day
- Schedules virtual meetings for Education and Outreach Specialists, Constituent Services staff, and other requestors
- Assists outreach specialists in planning travel as needed, and receives and submits their receipts for reimbursement
- Plans and submits purchase requests for events, office supplies, and other items as needed
- Acquires a purchasing card for OPE purchases and is responsible for keeping proper records of purchases and coding them correctly per the Purchasing Unit guidelines
- Sends out Event Feedback forms weekly and monitors responses
- Assists in scheduling outreach specialists and other OAG staff for public speaking / presentations
- Plans, coordinates, and manages large-scale outreach and training events
- As needed - Participates in community and legislative events, engaging with the constituency and answering questions about the agency
- Reviews contracts from event hosts and organizations for legal language that may need changed, and works with the point-of-contact on changes before submitting to the Legal Review Section for approval
- Submits invoices for payment
- Reviews and monitors community grant applications that are submitted and remains as the point-of-contact for the duration of the performance period
- Organizes and keeps records of all grants in the process of being reviewed, signed, or reimbursed
- Receives and submits receipts from grantees for reimbursement
- Assist Constituent Services with calls and emails, as needed
- Performs other tasks as requested
Minimum Experience and Training
- A bachelor's degree from an accredited institution and two years of experience in varied office management or staff work OR
- Any equivalent combination of experience and training
