The ideal candidate is polished, resourceful, technologically capable, and comfortable working in a fast-paced professional environment. This position requires exceptional judgment, discretion, organization, communication skills, and the ability to anticipate the needs of multiple executives.

Key Responsibilities
  • Manage complex executive calendars, meetings, appointments, deadlines, and competing priorities.
  • Review designated executive inboxes, prioritize communications, and elevate urgent matters.
  • Draft, edit, and proofread professional correspondence, presentations, announcements, and other materials.
  • Coordinate business and personal travel, including flights, lodging, transportation, reservations, and itineraries.
  • Plan meetings, leadership sessions, firm events, and special projects.
  • Prepare agendas, presentations, reports, meeting materials, and action-item follow-up.
  • Handle confidential business, legal, financial, personnel, and personal information with discretion.
  • Prepare expense reports, reimbursement requests, and selected financial records.
  • Assist with timekeeping administration for designated employees.
  • Create polished materials in Canva and PowerPoint for events, presentations, internal communications, and special projects.
  • Maintain organized electronic and physical filing systems.
  • Complete occasional local errands, deliveries, pickups, and special assignments.
  • Travel between the downtown and West Little Rock offices as business needs require.
  • Remain available for occasional evening, after-hours, or time-sensitive assignments.
Qualifications

Candidates should have:

  • At least five years of professional administrative experience.
  • Experience supporting senior executives or organizational leadership.
  • Strong organizational, time-management, and problem-solving skills.
  • Exceptional attention to detail and follow-through.
  • Excellent written and verbal communication skills.
  • The ability to manage multiple executives, deadlines, and changing priorities.
  • Sound judgment and the ability to maintain strict confidentiality.
  • Experience coordinating meetings, events, and travel.
  • Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
  • Proficiency with Adobe Acrobat and Canva.
  • Strong general computer and technology skills.
  • The ability to work independently with limited supervision.
  • A professional, flexible, collaborative, and service-oriented approach.

A bachelor’s degree with at least two years of executive-level administrative experience, an associate’s degree with at least three years of relevant experience, or an equivalent combination of education and experience is required.

Experience in a law firm or professional-services environment, bookkeeping knowledge, and familiarity with QuickBooks, Quicken, or timekeeping systems are preferred.
