Job Title: Legal Executive Assistant

Work Schedule: Full-time | Monday-Thursday Onsite | Friday Remote | 9:30 AM-5:30 PM

Our client is a prestigious global law firm seeking an experienced Legal Executive Assistant to support a high-performing executive-level partner and legal team. Job Description:

The Legal Executive Assistant will serve as a trusted business partner, providing high-level administrative and operational support to attorneys in a fast-paced legal environment. This role requires exceptional organizational skills, sound judgment, and the ability to anticipate needs while managing complex schedules, client communications, travel, billing, and confidential information. The ideal candidate thrives under pressure, is highly resourceful, and enjoys serving as a strategic partner to busy executives.

Key Responsibilities:

  • Manage complex calendars, coordinate meetings across multiple time zones, and oversee scheduling logistics for attorneys and clients.
  • Draft, edit, proofread, and organize legal and business correspondence, presentations, and other professional documents.
  • Maintain electronic files, emails, and document management systems to ensure records remain organized and easily accessible.
  • Coordinate domestic and international travel arrangements while managing traveler profiles, itineraries, and travel preferences.
  • Serve as the primary point of contact for internal and external clients, handling communications with professionalism, discretion, and urgency.
  • Act as a gatekeeper by prioritizing competing requests, anticipating attorney needs, and ensuring timely follow-up on critical matters.
  • Process expense reports, reconcile corporate credit card transactions, and coordinate billing activities to ensure timely client invoicing.
  • Review attorney time entries, assist with billing workflows, and collaborate with finance teams to meet billing deadlines.
  • Utilize Microsoft Excel to track projects, generate reports, and support operational initiatives.
  • Foster strong relationships with attorneys, business professionals, and administrative colleagues to ensure seamless team collaboration.
  • Participate in training opportunities and maintain proficiency with legal technology and firm systems.

Qualifications:

  • Bachelor's degree required (non-negotiable).
  • 7+ years of Executive Assistant or Legal Executive Assistant experience within a law firm or professional services environment.
  • Extensive experience managing executive calendars, complex travel arrangements, document preparation, and high-level client communications.
  • Strong proficiency with Microsoft Office Suite, particularly Outlook, Word, Excel, and Microsoft 365.
  • Experience working with document management, expense management, billing, and legal technology platforms.
  • Highly organized with exceptional attention to detail and the ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills with a polished, client-focused approach.
  • Demonstrated ability to maintain confidentiality, exercise sound judgment, and thrive in a demanding, fast-paced environment.
  • Proactive, dependable, resilient, and comfortable supporting high-performing executives with significant workloads.
