General Summary
The Executive Assistant provides comprehensive administrative support under the guidance of the Executive Assistant to the CEO/SVP. This position requires strong organizational skills and the ability to handle multiple tasks in a fast-paced environment.
Essential Duties and Responsibilities

  • Answer and direct phone calls to appropriate personnel or voicemail, ensuring all inquiries are addressed promptly.
  • Record and distribute messages as necessary.
  • Welcome and assist on-site visitors professionally, determining the nature of their business and notifying relevant staff.
  • Manage calendar commitments for Executive Directors and SVPs by coordinating appointments and meetings.
  • Collect, distribute, and prioritize incoming mail.
  • Prepare various communications including memos, emails, invoices, reports, and other correspondence.
  • Create and maintain both electronic and physical filing systems.
  • Collect and report data as requested, meeting established deadlines.
  • Attend meetings, take minutes, transcribe, and distribute them to attendees and designated team members.
  • Maintain confidentiality to protect operational integrity.
  • Provide backup support to the Executive Assistant to the CEO/SVP to optimize office operations.
Education
High school diploma or equivalent is required.
Experience
At least two years of relevant experience in a professional office setting is required, preferably in an administrative or clerical role.
Requirements
