Position Overview:

We are seeking a highly organized, proactive, and resourceful Executive Assistant to support our Chief Executive Officer. Reporting to the Chief of Staff, this role requires excellent judgment, strong communication skills, and the ability to anticipate needs in a fast-paced and high-visibility environment. The Executive Assistant will be a key partner to the CEO โ€“ supporting meetings, events, and speaking engagements while helping to manage the CEOโ€™s external presence.

Position Responsibilities:

  • Support the planning and execution of meetings, events, and public appearances.
  • Accompany the CEO to conferences, speaking engagements, and other events to provide logistical support and real-time coordination.
  • Coordinate with internal and external teams to ensure alignment and preparation for meetings and appearances.
  • Track organizational projects and business priorities and ensure timely follow up.
  • Monitor deadlines and deliverables across multiple projects.
  • Prepare high-quality meeting briefs and background research.
  • Draft and update bio sheets, speaker profiles, and related materials.
  • Manage and coordinate the CEOโ€™s calendar, travel, and logistics with precision and discretion.
  • Monitor industry and policy developments relevant to the Companyโ€™s work and provide timely updates and recommendations.
  • Oversee and manage the CEOโ€™s professional social media channels, ensuring consistent, polished, and timely content.
  • Maintain the highest level of professionalism and confidentiality at all times.
  • Other duties as assigned.

Basic Qualifications:

  • Bachelorโ€™s degree
  • 3-5 years of experience supporting senior leaders, executives, or elected officials in complex, high-profile environments.
  • Demonstrated ability to:
    • Anticipate needs and prepare leaders for meetings, events, and public appearances.
    • Manage shifting priorities and tight deadlines with discretion,
    • Navigate policy, industry, or government-related settings with professionalism.
  • Strong writing and research skills, with the ability to convey complex information clearly and concisely.
  • Social media management experience and digital fluency.
  • Exceptional organizational skills and attention to detail.
  • Confident and professional presence when representing the CEO.
  • Flexibility to travel with the CEO as needed (approximately 25%).
