Job Title: Executive Assistant

Location: Nashville, TN

Type: Full-Time

Schedule: Monday–Friday | Flexible schedule with occasional after-hours/weekend events or tasks


Overview:

Our Client is seeking a highly organized, proactive, and technology-forward Executive Assistant to support the CEO in a fast-paced, entrepreneurial environment. This position is ideal for a strategic and operationally minded professional who excels at anticipating needs, managing shifting priorities, creating structure, and serving as a trusted partner to a senior executive. The Executive Assistant will serve as a key operational partner to the CEO, managing a complex calendar, organizing communication and follow-up, coordinating meetings and special projects, improving systems and workflows, and helping create greater efficiency across the CEO’s day-to-day responsibilities. This role requires someone who is confident, highly organized, comfortable managing up, and able to bring order to a dynamic environment while maintaining discretion and professionalism.


Key Responsibilities:

• Serve as a trusted partner to the CEO by proactively managing priorities, anticipating needs, and identifying opportunities to improve efficiency.

• Own and manage a complex executive calendar, prioritizing meetings and protecting time for high-value work.

• Manage incoming meeting requests, communications, and interruptions while appropriately prioritizing competing demands.

• Prepare meeting agendas, attend select meetings, capture detailed notes, identify action items, and ensure timely follow-up.

• Draft, edit, and manage professional correspondence and follow-up communications on behalf of the CEO.

• Track priorities, action items, and follow-ups to ensure consistent progress toward key objectives.

• Lead special projects from concept through completion while coordinating with internal teams and external stakeholders.

• Coordinate events, grand openings, work parties, coaching initiatives, and other company projects.

• Manage vendor communication and coordinate with internal and external partners.

• Develop, document, and improve workflows, processes, and standard operating procedures.

• Organize and maintain digital files, information, and documentation across company systems.

• Utilize technology, AI tools, and automation to improve productivity and reduce administrative inefficiencies.

• Coordinate travel, including itineraries and occasional family travel logistics.

• Provide limited personal support related to scheduling, household logistics, gifting, and other personal matters with discretion.

• Attend weekly leadership and marketing meetings and support ongoing executive priorities.

• Assist with additional operational and special projects as needed.

• 3+ years of experience as an Executive Assistant supporting a CEO, founder, or senior executive preferred.

• Experience managing complex calendars, executive communication, meeting follow-up, and multiple competing priorities.

• Strong operational mindset with the ability to create structure and order in a fast-paced environment.

• Highly proactive and comfortable anticipating needs and taking initiative without being asked.

• Demonstrated ability to manage up, operate independently, and confidently clarify priorities.

• Exceptional written and verbal communication skills.

• Strong organizational skills and exceptional attention to detail.

• Ability to manage confidential and sensitive information with discretion and integrity.

• Strong problem-solving and decision-making skills.

• Highly adaptable and comfortable working in a fast-paced, entrepreneurial environment.

• Strong emotional intelligence and the ability to remain calm and professional under pressure.

• Genuine interest in using technology, AI, automation, and systems to improve efficiency.

• Willingness to support a variety of responsibilities and contribute across departments as needed.

• Ability to lift up to 20 pounds and assist with light office needs.
