The Opportunity:

We are looking for an experienced Executive Assistant who is a self-starter with exceptional organizational skills to provide comprehensive support for several extremely busy C-Suite executives. The primary focus of this role is ensuring the executive is fully prepared to engage with diverse internal and external audiences—including staff meetings, member-company presentations, board meetings, and industry conferences as platform speaker. This includes creating high-impact presentations, synthesizing internal research, and managing all related logistics. The position also requires interfacing with Executive Assistants from senior leaders at major industry companies.

What You’ll Do:Administrative Support
  • Manage calendars, schedule appointments, coordinate travel, and process expense reports.
  • Simultaneously support multiple senior executives while balancing competing priorities and deadlines.
  • Coordinate activities across executive leadership to ensure alignment and execution of key priorities.
  • Prepare and compile materials for board meetings and industry events.
  • Draft meeting minutes and maintain accurate records.
  • Serve as liaison between leadership and external stakeholders.
Presentation Development & Executive Readiness:
  • Create executive-level presentations for Board meetings, member-company audiences, conferences and industry events.
  • Translate executive objectives into structured, persuasive content.
  • Research and consolidate data from internal reports and subject matter experts.
  • Prepare talking points, handouts, and supporting materials for meetings and speaking engagements.
Event & Meeting Coordination
  • Plan and coordinate industry meetings, seminars, and workshops.
  • Handle venue booking, registration, and audiovisual setup.
  • Collaborate with cross-functional teams for reports and projects.
  • Coordinate and provide adminsitrativesupport for internal IT department meetings, including scheduling, agenda preparation, meeting logistics, note-taking, and follow-up on action items.
Other Duties
  • Assist in creating and distributing communication materials.
  • Manage incoming correspondence and maintain organized records.
  • Serve as backup for Chief of Staff supporting Board of Directors meetings and Chief Administrative Officer.
What You Bring:
  • Bachelor’s degree in Business Administration, Communication, or related field preferred.
  • 6+ years of experience as an Executive Assistant or similar role, preferably in an association or industry setting.
  • Advanced proficiency with Microsoft 365 collaboration tools including Teams, SharePoint, Outlook, PowerPoint, and Excel; Salesforce experience a plus.
  • Strong research and analytical skills with ability to synthesize complex information.
  • Experience supporting multiple executives at the Vice President or C-suite level preferred.
  • Experience supporting technology leaders or working within technology-focused organizations preferred.
