Position Overview: The Executive Manager to the CEO plays a pivotal role in supporting the Chief Executive Officer (CEO) in ensuring the smooth functioning of global operations for all the companies withing the CEO’s group. This position involves a high level of responsibility, confidentiality, and coordination. The Executive Manager is expected to provide efficient administrative, operational, and strategic support to the CEO, enabling them to focus on key business initiatives and decision-making. The role primarily functions as a Task Manager, requiring excellent multitasking, organizational, and follow up skills. Flexibility in work hours is essential to meet the demands of this dynamic position. Key Responsibilities: Task Management- Communication & Liaison: Act as the primary point of contact for the CEO's direct reports, tracking their assigned tasks and ensuring they are completed within specified timelines. Organize, prioritize, and execute tasks related to global operations, coordinating with various departments and teams as necessary. Implement efficient task management systems to monitor progress and facilitate follow-ups. Work with CEO’s direct reports for their KRA, KPI and target achievement reports. Draft and edit correspondence, reports, and presentations on behalf of the CEO. Screen and direct phone calls and emails, providing necessary follow-up and prioritizing tasks. Administrative Support: Manage CEO's calendar, appointments, and meetings, ensuring efficient use of time. Prepare agendas, documents, and presentations for meetings, conferences, and events. Coordinate travel arrangements and itineraries for the CEO and other executives as necessary. Handle sensitive and confidential information with discretion. Strategic Planning: Assist the CEO in developing and executing strategic initiatives and projects. Conduct research and analysis to support decision-making processes. Prepare reports and summaries for the CEO to aid in strategic discussions. Project Management: Manage special projects as assigned by the CEO, ensuring timely completion and high-quality outcomes. Coordinate cross-functional teams, facilitate communication, and monitor project progress. Global Operations Coordination: Collaborate with international teams to ensure seamless coordination and communication between different regions and time zones. Monitor operational activities across global locations, identifying opportunities for standardization and process improvement. Reporting and Analysis: Prepare regular reports for the CEO, summarizing the status of ongoing tasks, projects, and operational activities. Team Collaboration: Liaise with the CEO's direct reports, fostering a collaborative environment and ensuring alignment with organizational goals. Facilitate effective communication and cooperation between teams, departments, and subsidiaries within the group of companies. Flexibility and Multitasking: Demonstrate flexibility in work hours to accommodate global time differences and urgent tasks that may arise outside regular working hours. Handle multiple tasks simultaneously, ensuring that each task is given appropriate attention and priority. Event and Relationship Management: Plan and organize corporate events, meetings, and conferences involving the CEO. Build and maintain relationships with key stakeholders, partners, and clients on behalf of the CEO. Qualifications: Bachelor’s degree in business administration, Management, or related field (Master's degree preferred). Proven experience (10+years) in executive support roles, specifically in managing tasks, projects, and global operations. Strong multitasking skills with exceptional attention to detail. Excellent organizational, communication, and follow-up abilities. Financial acumen and ability to analyze budgets and expenses. Proficiency in project management tools and software applications. Ability to work independently, prioritize tasks, and meet deadlines. Flexibility to adapt to changing priorities and work schedules. High level of professionalism, integrity, and confidentiality.
