Role Summary

As a dynamic studio with a soul, we're seeking a Physical Production Assistant to play a vital role in supporting our TV Physical Production team. This position requires a meticulous individual with exceptional organizational skills, capable of thriving in a dynamic environment. The ideal candidate will excel at multitasking, possess strong communication abilities, and demonstrate proficiency in collaborating with diverse personalities. With a keen eye for detail and a proactive mindset, you'll ensure seamless operations in our fast-paced production setting.

Role Responsibilities
  • Maintain and manage executive calendars with precision, anticipating needs for meetings/videoconference/calls, adapting to the demands of an international business spanning multiple time zones
  • Prepare meeting agendas, organize and distribute materials, handling both internal and external appointments of varying formalities
  • Arrange travel accommodations and process executive expenses in alignment with company policies
  • Act as a liaison between executives and contacts
  • Proactively follow up on tasks and projects to ensure timely completion
  • Assist in tracking key department milestones/dates
  • Maintain & update department databases and checklists
  • Support ad hoc projects when necessary
  • Compile and distribute meeting notes as required
  • Maintain confidentiality and diplomacy in all tasks

Qualifications
  • Bachelor's degree or equivalent experience in a related field
  • Genuine interest in TV Physical Production and a desire to contribute to its success
  • Basic knowledge of set production workflow; previous on-set experience is advantageous
  • Previous experience in Talent Agency, Management Company, Production, or Production Company preferred
  • Strong communications skills, able to engage effectively across all levels of the organization and with external partners
  • Expertise in MS office, Zoom, Microsoft Teams and Adobe
  • Exceptional logistical skills, highly organized, and detail-oriented
  • Self-motivated and proactive, capable of managing multiple tasks concurrently
  • Capacity to maintain confidentiality and diplomacy in all tasks
  • Flexibility to work overtime with short notice

Compensation: $23-$25 / hr + OT
