Job description

A private principal is seeking a highly organized, polished, and service-oriented Personal Executive Liaison / Coordinator of Property Logistics, Events & VIP Guest Services to support the principal's day-to-day life, property logistics, private events, VIP guest services, and personal/business needs while in Aspen.
This role requires a proactive, discreet, and highly flexible professional who can communicate clearly, manage shifting priorities, and work closely with the Property/Estate Manager, household staff, vendors, facilitators, drivers, and other support teams.
Schedule
This role requires a flexible hybrid schedule.
During the off-season, the schedule is flexible but mostly Monday to Friday, with some weekends depending on whether the principal is in town.
During the busy winter months, the schedule may be seven days a week and usually on-call.
The schedule changes when the family is in residence, especially over the holidays. The schedule may also change depending on what project, including construction or other property-related projects, is going on at the property.
Responsibilities
Principal Support & Daily Coordination
• Plan, coordinate, assist, and manage the principal's day-to-day life while in Aspen.
• Ensure the principal's needs and requests are met in a timely manner.
• Provide consistent updates to the principal on request status.
• Communicate with the principal on all ongoing personal and business matters while in Aspen.
• Provide executive assistant support to the principal as needed on a day-to-day basis.
• Handle miscellaneous personal and business-related tasks based on the principal's needs, including placing food orders, picking up supplies, and related errands.
VIP Guest Services & Events
• Host and assist the principal's family, close friends, VIP guests, and other visitors.
• Ensure the principal's family and close friends' day-to-day needs are met at an exceptional level of care while on property.
• Plan, coordinate, assist, and manage the principal's private events and dinners in Aspen, both on-property and off-property.
Travel, Transportation & Reservations
• Coordinate the principal's Aspen movements with the assistance of the principal's other facilitators and driver.
• Assist with air travel logistics and confirmations, ground transportation, marine transportation logistics, and other transportation needs.
• Book reservations and appointments for the principal in Aspen, including restaurants, workouts, massage appointments, and other requested appointments.
• Research and advance locations the principal may visit for activities, dining options, and related needs, if requested.
Property Logistics & Vendor Coordination
• Work in tandem with the Property/Estate Manager to ensure property and project management needs are met in a timely manner.
• Set vendor and property maintenance worker appointments as needed, per the instruction of the Property/Estate Manager.
• Oversee paperwork related to the properties and vehicles as requested by the principal, including vendor contracts, car insurance, and related items.
• Oversee incoming packages, including principal-ordered packages, principal requests, general mail, and parcels dropped off at the properties.
Principal Belongings, Supplies & Inventory
• Manage the principal's belongings, including clothing, fitness equipment, electronics, and related items, with the assistance of the housekeeping staff.
• Order and maintain supplies directly related to the principal while in Aspen.
• Provide personal assistance with any equipment and/or supplies directly needed for or requested by the principal.
• Purchase, preorder, verify, and/or advance requests made by the principal to help streamline needs and ensure the correct items and products are gathered.
Housekeeping Coordination
• Coordinate with the housekeeping team to unpack and organize the principal's clothing.
• Assist with resetting the principal's room, including clothing, equipment, electronics, and related personal items.
• Coordinate the resetting and organization of suitcases, supplies, and personal belongings.
• Oversee the dry cleaning process for the principal's clothing with the support of the housekeeping team.
• Maintain inventory of the principal's toiletries and personal care supplies with the assistance of housekeeping.
Compensation
Salary range is $125,000 to $150,000 annually, depending on experience.
